We are recruiting for a Systems Manager with CAFM experience to enhance our clients' digital capabilities and drive improved performance through enhanced reporting techniques and automated data analysis. This role involves the development and maintenance of the CAFM systems, workflows, and reporting to enable the efficient running of the FM contracts, minimizing administrative burdens, and utilizing technology to improve the performance of our contractual compliance.
The role is a permanent position, Mon-Fri 40 hours per week, paying up to £50k basic plus package.
Key Responsibilities
1. Management of all aspects of the CAFM system including the development and change management associated with the Asset management section.
2. Ability to identify gaps and further develop the CAFM system, including writing complex workflows and improving critical contractual elements such as Payment Mechanism and Unavailability.
3. Identification, integration, and development of all reporting and information sharing platforms and processes to drive efficiencies.
4. Bringing a strategic approach to problem-solving and a passion for leading teams to success in a complex digital environment; exploring additional digital opportunities for presentation of data such as Power BI.
5. Build and implement reports to interrogate and track performance, identify anomalies, and areas for improvement.
6. Produce and deliver training materials for system-based applications.
7. Act as a subject matter expert on all digital applications, reporting, and data analysis.
8. Ensure that your own and the workspace of others is kept safe.
9. Support the Compliance Manager with any digital tracking and reporting requirements.
10. Consider where automation of data can be implemented to improve auditability, compliance, and reporting, and to reduce manual interventions.
11. Report all unsafe practices to the Compliance Manager.
12. Drive a strategic approach to problem-solving using digital information and the reduction of manual trackers and reporting.
13. Design, build, and maintain a suite of reports through Crystal Reporting / CAFM / Power BI or other digital platforms as agreed.
14. Track improvements in performance through the introduction of technology-based solutions.
15. Develop system automation and optimization, increasing the reporting and viability of information.
16. Produce and deliver training materials for digital systems and reporting processes to support and educate the wider teams.
17. Audit the CAFM system to ensure processes are being followed and contractual obligations met.
18. Review contractual requirements in respect to EoT / excusing causes to explore system-driven opportunities to improve and automate the process.
Experience
1. Experience in the FM sector understanding and managing complex CAFM systems that can handle Payment Mechanisms, unavailability, and production of Performance Monitoring Reports.
2. Experience working within complex and interrelated contractual arrangements.
3. Implementing, monitoring, and updating systems and processes to monitor Hard FM Services to ensure compliance with contractual documents.
4. Knowledge and understanding of Hard FM CAFM.
5. Experience building, developing, and maintaining digital systems, with a solutions-based approach focused on the reduction of manual intervention and maximization of automation.
6. Experience of gap analysis and technical translations for engineering and non-technical teams and business process analysis, with the ability to train and act as a subject matter expert on the Internet of Things across all business areas.
7. Professional report writing skills.
8. Experience of building, developing, and maintaining CAFM systems.
9. Experience of integrating additional systems, such as Docuware and Access.
10. Ability to proactively detect and resolve complex and technical system issues or challenges.
11. Ability to interpret and undertake analysis of information from differing sources.
12. Excellent attention to detail and ability to work systematically to achieve deadlines.
13. Proficient in products: Excel, Word, Project & PowerPoint; Power BI, Power Apps, Adobe Photoshop.
