A little more about your role…
We are recruiting for a Project Team Document Controller to join the Scotland Building Structures Team. The candidate will manage the information flow on multiple projects ranging in size from large healthcare projects to smaller refurbishment and inspection projects.
The role is based at WSP’s Glasgow office and will include periods of travel to support our team in our Edinburgh office.
A typical week would include:
1. Review and implementation of Client/Contractor Information Management Procedures
2. Receive and provide training to project team on company processes, templates and electronic document management systems
3. Receive and provide training to project team on Client/Contractor Information Management Procedures
4. Download electronic drawings and documents, file appropriately and distribute to Project Team
5. Assist in the collation and preparation of project documents such as reports and specifications
6. Work with Project Team/Project Managers to plan submissions, issue drawings and documents in accordance with Quality Assurance Procedures onto electronic document management systems
7. Manage project email and any shared mailbox notifications and complete actions in a timely manner
8. Attendance at internal project meetings and assistance with note taking and distribution
9. Assist in the preparation of weekly project status and financial reports
This role is important to our continued growth and project delivery and will suit a proactive and enthusiastic individual with:
1. Solid experience in document and data management
2. A good understanding of Quality Assurance procedures and the importance of BS EN ISO 19650-2 2018 Numbering, Revisions and Suitability Status
3. Excellent computer skills, including good working knowledge of IT systems i.e. Microsoft Word, Excel, Project, Powerpoint and Outlook
4. An ability to adapt to the demands of external document control systems e.g. Aconex, 4Projects, Asite etc
5. Good organisational skills and experience of working with a variety of people on multiple projects and systems
6. Experience of working in a busy team
7. Good time management and communication skills
