Job Description
* Ensure customer concerns and queries are dealt with promptly and efficiently at the Service Reception.
* Process service bookings and administrate onto company system, ensuring efficient workshop loading whilst attending to customers requirements in a professional manner.
* Record all necessary vehicle details onto Job Cards including Vehicle ID, reg, mileage, vehicle issue/fault etc.
* Communicate effectively with customers providing status update on vehicles when required including any customer IT systems.
* Obtain authorisation from customer for any necessary repairs and spend on vehicles including processing on customer IT system.
* Follow process for customer vehicles booking in, recording damage/issues where applicable and retain vehicle keys as per company procedure.
* Ensure customers are made aware of vehicle defects and that they sign a declaration prior to taking the vehicle away without repair.
* Maintain a high standard of dress and conduct at all times and ensure the reception area is kept clean and tidy at all times.
* Ensure courteous use of telephone, adhering to company policy.
* Advise Management of all customer and departmental concerns.
Customer Service and Satisfaction
* Ensure the highest degree of efficiency and understanding of customer requirements and to deal with any customer complaints courteously, promptly and sympathetically.
* Provide customer estimates according to company policy and pricing.
* Where necessary, invite the customer to talk about a vehicle problem directly with the Service Manager/ Foreman / Technician therefore aiding first time fix and improving customer satisfaction.
Profitability / Cost Control
* Develop personal knowledge and experience in order to improve profitability, customer satisfaction and efficiency.
* As required, ensure accurate invoicing and job costing.
* Present invoices for payment to the customer providing an explanation of charges where required and making sure that the correct methods of payment are used.
* Inform customers of additional repairs needed including prices and delivery times. Obtain written confirmation before ordering major units and obtain suitable deposits where applicable.
* Take an active part in upholding the Company’s Health and Safety Policy as set out in the Statement of Main Terms of Employment.
Qualifications
* Demonstrate exceptional interpersonal skills, be well-presented and have a professional telephone manner.
* Possess a minimum of 2 years+ experience working as a Service Advisor, preferably within the Commercial Vehicle Industry.
* Have a Full clean Driving Licence.
