Based in our Egham Offices and working as part of a fast-paced, established business in this dual role, the PA/OM will ensure the smooth functioning of business/office management services and provide executive-level assistance to the senior management team, specifically the founder and Chairman. As an office manager, you will oversee daily administrative tasks and maintain an efficient workplace. As the Personal Assistant, you will provide direct support to the Chairman by managing calendars, scheduling meetings, handling communications on his behalf, and also managing personal non-business plans and schedules. You will act as a gatekeeper, prioritising tasks and ensuring that the executive’s time is utilised efficiently and effectively. The role requires exceptional organisational skills, attention to detail, multitasking, and working independently. PA Responsibilities Calendar and Schedule Management: Organize and maintain the Chairman’s schedule, including appointments, meetings, and travel arrangements. Ensure timely reminders and handle scheduling conflicts effectively. Communication and Correspondence: Act as the first point of contact for calls, emails, and messages, responding or redirecting as appropriate. Draft, proofread, and send correspondence on behalf of the employer. Where needed, communication with Company Executives and a wide range of internal and external stakeholders. Travel Coordination: Plan and book domestic and international travel arrangements, including flights, accommodations, and itineraries. Prepare travel documents and ensure smooth logistics. Administrative Support: Maintain data and records in an organised manner. Handle expense reports, invoices, and budget tracking. Task and Project Management: Oversee personal and professional projects, ensuring deadlines are met. Liaise with external vendors, contractors, or service providers as needed. Errands and Personal Tasks: Perform errands, including shopping, deliveries, or event preparation. Manage household or office supplies and coordinate with staff as necessary. Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and professionalism. Assisting with ad-hoc project planning, Research and analysis as required Office Management Duties Oversee the general upkeep and organization of the office environment. Manage office supplies, ensuring inventory levels are maintained and orders are placed as needed. Coordinate with vendors and service providers for office maintenance and supplies. Supervise and support administrative staff, ensuring efficient workflow and productivity. Act as the first point of contact for office-related inquiries and issues. Key Holder Meet and greet for visitors and meeting room set up Handling incoming and outgoing mail, Invoice management Health and Safety Awareness – reporting on relevant issues t as necessary Liaise with Marketing team Manage incoming calls to the office Manage security access to the office and records Onboarding new starters Inducting key holders and liaising with HR Liaising with contractors - usually via internal Maintenance Maintenance of Office Coffee machines Process expense reports and assist with budget tracking. Maintain and update office records, systems, and databases. Organize team events and other company activities. Qualifications and Skills: Proven experience as a Personal Assistant, Executive Assistant, or similar role. Excellent organizational and time-management skills. Strong verbal and written communication abilities. Proficiency in tools/software, e.g., Microsoft Office, Google Workspace Ability to multitask and prioritise under pressure. Discretion, professionalism, and attention to detail Ability to work with all levels of staff within the organisation Ability to be flexible, understanding that sometimes requirements can change Proactive manner, ability to use own initiative, and willingness to accept responsibility Other information Egham, Surrey TW20 8RY Monday to Friday / 25 hours per week (discussed at the interview stage) Equivalent to £40,000 per annum (pro rata to Part-time hours)
