Job Description
We are looking for an enthusiastic and proactive Wedding & Events Coordinator with excellent attention to detail, a passion for delivering outstanding customer service and a proven sales record. The role is primarily customer facing and involves a mixture of event sales, event preparation, on the day event co-ordination and office based administration.
Responsibilities and Duties
1. Undertake viewings of the venue and enhance sales
2. Promptly follow up leads and keep regular track of sales
3. On a typical wedding/event day, set up the venue including furniture and decorations, co-ordinate and assist suppliers ahead of guest arrival.
4. Manage the wedding ceremony including music and entrance of the bride/partner
5. Liaise with and support Upton Barn bar staff including assisting behind the bar during busy periods
6. Deliver events accurately and efficiently to planned schedules
7. De-camp at the end of the day ready for cleaning team
8. Generally manage operational and administrative functions to ensure events are delivered efficiently and accurately according to client expectations
9. Ensure excellent customer service and willingly carry out reasonable requests from the couple and their wedding party/guests
10. Communicate, maintain and develop client relationships at all times
11. Undertake event planning meetings
12. Promote the venue using a variety of social media packages
13. Administrative duties including responding to enquiries (mainly phone and email), preparing and/or managing associated paperwork including contractual agreements and following relevant administrative procedures including updating client management systems.
14. Coordinate and attend open days, wedding fairs, and family friends and suppliers’ events.
15. Deal with suppliers and manage supplier relationships
16. And most importantly to work flexibly to support the rest of the Upton Barn Team to deliver great customer service and exceed expectations and to further the needs of the business rather than from a specific job description.
Qualifications and Skills
The ideal candidate:
1. Has strong sales and negotiation skills
2. Is well presented, confident, passionate, friendly and able to create a great impression.
3. Has experience working within the events and/or hospitality industry and is used to working evenings and weekends as part of the working schedule.
4. Has exceptional communication and interpersonal skills.
5. Is customer focused, a good listener, has a flexible and positive approach and is always willing to pitch in for the benefit of the team.
6. Thrives on delivering outstanding service and will ensure that every guest and visitor receives a personal service that is consistent with Upton Barn & Walled Gardens' standards.
7. Has a natural eye for detail
8. Has methodical administration skills and knowledge in Microsoft Office applications.
9. Working knowledge of social media packages such as Instagram, Facebook and Twitter.
10. Has a driver’s license and access to a reliable vehicle necessary due to the location of Upton Barn & Walled Garden.
11. Is self-motivated and able to work on his/her own and within a team. You will be required to work autonomously most of the time, managing your daily workload to produce accurate internal information and to display an excellent professional work ethic.
Commission
Commission is based on sales with the potential salary uplift of £2,000 per annum.
Interviews
Interviews are intended to take place between 13th and 16th January 2025 and will be completed between the hours of 9.30am and 3pm.

Hours: Full Time, 40 hours per week including weekends

Pay: £26,000.00-£28,000.00 per year
