We are currently recruiting for a FM Administrator to join our team who will be responsible for ensuring all supporting administration elements of the contract are maintained and completed to support contract delivery.
Working in Custodial is an intensely pressurised environment so you must also be confident in your ability to communicate effectively, with a high level of customer service skills. As our FM Administrator, you will operate the FM helpdesk utilising the CAFM system and be the initial point of contact and provide regular updates to those who have logged issues. You will support the FM Manager with procurement activity both locally and within the framework provided by the procurement lead.
You’ll work closely with the wider contract team to ensure seamless operations and help maintain accurate asset information within the CAFM system, keeping all data current and reliable. Additionally, you’ll generate reports and forecasts based on the CAFM system data, providing valuable insights for decision making.
Whilst the hours of the role are predominantly. am to. PM Monday to Friday. for the right candidate, a flexible working solution or change of hours maybe be considered, if it meets the business needs. This role is a central part of FM Delivery at HMP Doncaster, and we are looking for a dynamic person who can support the FM function and make a real difference and we offer further development opportunities for the right individual.
What you’ll need to do the role
1. Effective communication skills, both written and verbal, with ability to converse to all levels across the business
2. Excellent PC skills, with use of Microsoft Office, excellent excel skills, and report writing
3. Knowledge of payroll systems and processing
4. Knowledge of purchasing systems
5. Competent knowledge of CAFM systems preferable and the ability to become a subject matter expert
6. Good analytical and organisational skills
7. Self-motivation and ability to manage time and priorities well
8. Analytical and logical approach to problem-solving
9. Sound understanding of Facilities Management
10. Ability to work weekends when required
11. Experience of working to contractual obligations
12. Customer focused
13. The ability to take minutes at meetings as and when required
14. Proven ability to work with sensitive and restricted information at all levels of the business
15. The ability to work effectively with onsite Deputy Managers and wider members of the team
16. The ability to carryout contractor inductions
