Main Aspects of Job Working as part of the Human Resources group, the postholder will assist the Global Head of Payroll in the efficient operation of processing KBC’s global payroll and expenses. They will be responsible for day to day processing and reconciliation of US, Canada, UK and Singapore payrolls, in addition to assisting with the reconciliation of all other KBC Global payrolls. The postholder will work closely with the regional HR representatives to ensure monthly payroll information is received before the deadlines and to work closely with the Finance department to ensure month end deadlines are met. Main Roles and Responsibilities Payroll Functioning: Administer and process payrolls and ensure all month-end reconciliations are completed. Check and audit accuracy and completeness of KBC global payrolls. Provide assistance to Global Head of Payroll for managing pay enquiries. Preparation and reconciliation of monthly end global payroll journals on a timely basis. Monthly reconciliation of global payroll balance sheet account. Ensure prompt maintenance of employee file and payroll related data. Payrolling and reconciliation of UK private medical benefits Administration, calculation, reconciliation and payment of all pension contributions. Administration and calculate compensation for frequent travel and hardship claims for review with Head of Global Payroll, and HR Director. Preparing intercompany payroll related invoices Assist Global Head of Payroll with preparation of ad hoc reports as required. Updating and maintaining monthly headcount and prepare KBC MG reports for HR Director. Participate in monthly Global HR team meeting Expense functioning: Administration, audit and payment of KBC’s global expenses in line with KBC’s Global Travel and expense policy. Bring to the attention of the Global Head of Payroll any expense that fall outside KBC’s Global Travel and expense policy. Monthly reconciliation of global expense balance sheet accounts Managing any expenses related enquiries Statutory Compliance and Reporting. Assist Global Head of Payroll with: Preparation of Global payroll-related statutory year end returns. Calculation, payment and reconciliation of payroll related taxes. Assist the Global Head of Payroll with internal and external audit queries. Position Requirements Demonstrated sole role payroll processing experience and exposure to international payrolls Understanding of UK payroll legislation and processes i.e. tax, social security, benefits in kind, payrolling benefits and PSA agreements. Excellent written and spoken communication and interpersonal skills and the ability to deal with colleagues and clients professionally. Good level of attention to detail Must be PC proficient in key payroll packages such as ADP Freedom (ideal), ADP Workforce now and Microsoft Office - Excel (advanced), Word, PowerPoint and experience of using Accounting and HR databases/ systems. Ability to work well in team environment under supervision and willingness to assist others Numerical ability and data entry skills Flexible with the ability to prioritize and reprioritize due to conflicting demands Creative, focused on achieving innovative solutions Customer service focus Must be reliable & have the ability to work unsupervised at times Ability to maintain confidentiality and build relationships with Line Managers and Employees.
