About The Role: We are now hiring for a Facilities Coordinator in our Operations Function. Working closely alongside the Senior Facilities Manager, this role is responsible for identifying, delivering and overseeing required office facilities and health and safety duties, including regular safety audits and risk assessments, DSE assessments and personal emergency evacuation plans, emergency response plans and safety drills.This role is pivotal for ensuring the compliant and effective operation of our office environments, working with key departments such as IT and Risk to ensure a safe and secure working environment is maintained, through proactively identifying risks associated with all of these tasks, timely resolution and reporting of safety issues and proactive identification of opportunities for continuous improvement and enhanced efficiencies. The role also requires a proactive, professional and experienced response to effectively manage and resolve any urgent and often unforeseen issues that arise day to day, in addition to working closely alongside and directing the daily tasks of the Facilities assistant. This position involves a holistic approach to various tasks related to facilities, room management, health and safety, and maintenance administration to enable the team to provide the highest standards of asset management, maintenance and provision of location services. If you're passionate about making a meaningful impact and thrive in a collaborative safety first environment, this could be the perfect opportunity for you Key Accountabilities Manage and oversee the co-ordination, delivery and compliance of various health and safety activities in line with relevant regulations across all office locations. This includes regular safety audits and risk assessments, DSE assessments and personal emergency evacuation plans, emergency response plans, conduct safety drills, and proactively document near misses and hazards. Ensure a safe and secure working environment by proactively identifying risks associated with all of these tasks to ensure timely resolution and reporting of safety issues. Identifying and delivering continuous improvement in health and safety practices to foster a culture of safety within the organisation. Identify and coordinate reactive and planned maintenance tasks reviewing services reports related to maintenance activities to ensure trends around issues are analysed and resolutions are implemented. Lead coordination of daily office operations and maintenance. Lead coordination with vendors and service providers for office-related needs, including purchasing and organising consumables, furniture, fittings and equipment to ensure adequate supplies are always available. Ensure and maintain a clean and organised office environment by managing day to day relationships with cleaning contractors and escalating to the SFM when required. Managing the new starter and visitor induction process, directing any required support from the Facilities assistant to ensure access passes are arranged, comprehensive inductions are conducted, training on health and safety protocols, and share relevant resources. Working proactively with HR and Line Managers to identify any potential health & safety considerations relating to individual employee needs e.g. potential reasonable adjustments. Lead the coordination and reporting on sustainability metrics. Implement, identify and drive initiatives to reduce the office’s environmental footprint and promote sustainable practices within the office. Assist the Senior Facilities Manager to lead the coordination of office space in the regional offices. Collaborate with the Senior FM on office space allocation and layout, and coordinate the setup of workstations and meeting rooms. Responsible for supporting other Arms Length Bodies licensed to use the NWF offices, ensuring their needs are met and facilitating smooth operations. Work closely with the IT department to ensure seamless integration of technology in the office and assist with troubleshooting basic IT issues Directing and overseeing the daily priorities of the Facilities Assistant in terms of planned and reactive management of health, safety and facilities duties. Key Experience, Skills & Knowledge Strong demonstrable experience in facilities management. Strong understanding of health and safety regulations and safety within office environments. Is able to demonstrate the ability to work autonomously and evidencing initiative in proactively identifying areas of improvement in relation to health, safety and facilities management. Proven evidence in career, relevant to the tasks outlined in the JD. Certification in facilities management or health and safety such as IOSH Experience with FM and ESG data analysis. Able to demonstrate a high level of service delivery. Experience of working with muti-functional teams and an understanding of what matters to them. Excellent multitasking skills, organisational skills and attention to detail. Clear communication is crucial for coordinating with team members, visitors, and maintenance personnel. This role will require manual handling and lifting and moving of office equipment. The Facilities Coordinator will be required to demonstrate a flexible approach to responding to emergencies outside of regular working hours and visit regional offices on a quarterly basis.
