Position Summary: The Customer Accounts Executive will be the main point of contact for customers regarding updates, addressing their inquiries, resolving issues, and ensuring a positive experience throughout their interaction with the company. The Customer Accounts Executive will work closely with other members of the wider team, including Sales and Quality, as and when required. Greyhound Chromatography is a Calibre Scientific Company, supplying high-quality chromatography consumables, columns, solvents, and reagents.
Main Duties and Responsibilities:
1. Producing sales orders and proforma invoices for customers.
2. Contacting customers by phone or e-mail to provide updates to their orders.
3. Issuing invoice paperwork to customers.
4. Working closely with colleagues in the Purchasing department to keep orders progressed and customers informed.
5. Understanding the Purchasing role to assist during leave periods.
6. Updating customer information in the company CRM database to ensure the marketing team has the most up-to-date contact details.
7. Liaison with the logistics team to provide customers with up-to-date shipping information.
8. Maintaining up-to-date customer invoices and delivery details using company in-house order processing software.
9. Assisting the company’s bookkeeper with supplier invoice reconciliation.
10. Answering phone calls and assisting customers with queries where possible or fielding calls to other departments.
11. Filing company invoices in line with current procedures and organizing monthly archives (physical and electronic).
12. Supporting customers with all aspects of after-sales care.
13. Processing customers' credit card payments through a secure payment portal.
14. Assisting the sales team with preliminary data collection for large tenders.
15. Booking and facilitating interdepartmental meetings.
16. Supporting the Quality manager with maintaining the company’s database of ISO registered companies.
17. Providing additional support to the business as and when required.
Experience:
1. 2+ years experience in a customer service related role or similar experience (desirable).
2. Understanding of Microsoft Office (required).
