Job overview
The apprentice will be required to undertake the relevant training and education standard (Key Skills, Certificate/Diploma and Technical Certificate) within the specified time frame. Attend all the training sessions for the programme whenever necessary. Undertake any necessary homework during the length of the course.
To assist the department in the provision of the broad range of services provided, working under the supervision of the department staff.
An Apprentice is expected to expand and broaden their skills and abilities. Nonetheless, they must always operate under the direct supervision of a senior member of staff, unless operating according to agreed procedures that have been approved by the department.
Main duties of the job
Whilst in the development role the apprentice will work towards the following:
1. To always operate within the local Standard Operating Procedures relevant to the area of work.
2. To provide a patient focused reception service, ensuring that the service is efficient and welcoming.
3. To overcome language barriers wherever possible using available resources as necessary e.g. interpreters, ensuring that all patients are dealt with in a courteous manner.
4. To accurately input, update and monitor patient related information onto the computerised electronic system.
5. To register referrals onto the electronic system making, changing and cancelling Patients’ appointments.
6. To prepare Physiotherapy & Occupational therapy treatment notes for initial attendances.
7. To be responsible for the security of case notes in the department.
8. To process telephone calls and enquiries and take appropriate action.
9. To arrange transport for patients if required.
10. To file patients’ treatment cards accurately and retrieve as required.
11. To respond in a professional and sensitive manner when dealing with confidential issues.
12. To work closely with Administrative & Clerical staff to ensure that essential work is completed during colleagues’ periods of absence.
13. To provide administrative duties in a professional, polite and timely manner with attention to providing customer care of the highest standard.
14. To check the shared inboxes for work streams and respond to any general enquiries using the standard emails or escalate to a member of the team as appropriate.
15. To respond to all emails, correspondence and telephone calls and liaise with other departments within the Trust in a friendly and professional manner, when assigned to that task.
16. Assist the administration team with greeting visitors to the department and notify the appropriate member of staff.
17. To update patient activity on systems and spreadsheets as directed.
18. To ensure that security in the work environment is maintained, locking doors and windows, challenging unknown persons who enter the work area and by always wearing the Trust identity badge whilst at work.
19. To undertake statutory and mandatory training as required in accordance with Trust’s policies and procedures.
20. To always maintain the rules relating to patient confidentiality.
21. Assisting in maintenance of a clean, tidy, organised and appropriately stocked environment.
22. Become familiar with and comply with all health and safety regulations, Trust policies and procedures and incident reporting.
