Job Description JOB DESCRIPTION JOB TITLE - Unit Administrator RESPONSIBLE TO - PA to Registered Manager Accountable to Registered Manager AIMS OF POSITION To support and assist the Unit Managers with administration, minute taking for meetings diary management, shift coordination, processing and producing audit trend and themes, updating dependencies, is conjunction with the Unit Managers and following all Policies and Procedures. SUMMARY OF RESPONSIBILITIES 1 FINANCIAL Management of unit stock control and ordering The management, auditing and recording of Resident’s Personal funds in accordance with the clients policies and procedures and petty cash for the unit. 2 COMMUNICATION · Communicate effective, professionally in a timely fashion ensure that communication is effective with all internal and external stakeholders. · Ensure the confidentiality and security of all Company information paying particular attention to Resident’s Information, Resident’s Finance Files and Payroll information. 3. ADMINISTRATION DUTIES · Answering telephones and dealing with enquiries. · Opening and actioning post. · Looking after relatives/visitors · Arranging meetings and take minutes when required, · Update resident birthday list and order birthday cakes when required, · Arrange transport for hospital appointments. · Liaise with various departments regarding hospital admissions and discharges. · Arranging meetings and take minutes when required, · Obtaining audit information from Access (Training will be provided) and circulate to relevant parties. · Resident Monies · Updating TV slides on units. · Undertake daily fridge temperature checks. · Archiving of resident’s information · Ad hoc Reception cover, · Resident bedroom door posters · Assist with menus/food ordering. · Print monthly rota and display in Nurses office. · Ensure updates PEEPS and Care Plan is put in each resident’s Red folder. · Update DoLS information on Dependency Calculator (training will be provided)..
