The successful post holder will provide an administrative and secretarial service to a variety of Healthcare Professionals to achieve effective and efficient service provision. The needs of the service user will be the utmost priority. The principle of high quality customer care is at the heart of this role. Working within the service can at times be a stressful environment, by way of telephone calls, meetings and numerous daily tasks. The post holder requires the ability to work under pressure, with conflicting demands at times, show a willingness to assist others, be a key member of the team with a requirement to work in other administrative areas as appropriate as directed by their line manager.
Key Responsibilities:
* Provide comprehensive secretarial and administrative support to professionals within the multi-disciplinary team. Support the CLDT and other members of the management team as required.
* Provide confidential and efficient word processing service, including the preparation of letters, reports and other associated papers from a variety of sources and have a working knowledge of Easy Read documentation.
* Open, sort and distribute incoming post, prioritising and screening urgent correspondence ensuring it receives appropriate attention/direction.
* Undertake general office duties as required including filing, photocopying, scanning etc.
* Logging calls with the Trust's Service Desk for any building repairs, works etc.
* Ordering of equipment and stationery on the Trust's E-Procurement System whilst ensuring the correct procedures are adhered to and stock levels are maintained for the teams.
* Prioritise and manage own workload to meet the needs and requirements of the service demands.
* Work within parameters of established procedures and to seek advice when necessary.
* Provide cover for other administrative staff within the wider team as required.
* Follow policies relevant to own role.
* Meet and greet visitors to and from office base as necessary.
* Follow Standard Operating Procedures, good practice and established precedents.
* Exposure to distressing or emotional circumstances would be rare.
