Job Description
This role is responsible for ensuring the smooth operation of the Company's office, general facilities maintenance, health & safety and governance. The successful candidate will be based in our Ipswich office.
Key Tasks
1. Ensure visitors sign in and out and have required visitors pass
2. Managing any deliveries and making sure they go to correct employees if required
3. Ensure all consumables are stocked
4. Ordering general supplies for the Company
5. Organising travel and accommodation
6. Booking catering for internal and external client meetings
7. Managing Ipswich office car parking
8. Answering the telephone and directing calls as required
9. Housekeeping duties as required including setting up refreshments for internal meetings and washing up
10. Support offshore procurement team for all Ipswich office related purchases
11. Manage Site Security & own Manual
12. Manage access control system, creating and deactivating all passes
13. CCTV Management and Monitoring
14. Perform minor onsite repairs
15. General outside maintenance ensuring all pathways and accesses to building are clear and free of risk
16. Scheduling contractors for major repairs as required
17. Liaising with external suppliers i.e. security alarms, vending and building maintenance
18. Discussing maintenance concerns with the employer and communicating these to Maintenance Workers
19. On-call and responding to emergency maintenance needs
20. Point of Contact for Health & Safety (First Aiders/ Fire Marshals etc)
Reporting directly to Head of Claims & Operations. This role will have contact with all levels within the Company and will also liaise with external bodies.
Qualifications
Essential
1. Educated to GCSE Level or equivalent
2. Good communication and interpersonal skills
3. Good organisational skills
4. A thorough working knowledge of MS office applications
5. Must be numerate
6. Minor repair knowledge (plumbing/ painting etc)
