The number of service users who have problems with adherence and need support to take their medication is growing. With support from Tech for Better Care - The Health Foundation, BNSSG have secured funding for a 12-month pilot of a personalised medication support service (PMSS). The pilot will involve up to 200 participants and will explore how new digital technologies might be used to support people with long-term health conditions with their medications. The service will be delivered across Bristol, in partnership with Sirona, Gordano Primary Care Network, Caafi Health, Local Authorities, and a private home care provider.
Main duties of the job
The postholder will support the delivery of the programme, which will include:
1. Working with the Project Manager to organise and document team meetings with the senior team, project partners, and focus groups.
2. Liaison with commercial partners for delivery and supply of equipment.
3. Maintenance of the action log, exception reports, document library, and project database.
4. Monitoring progress with key deliverables, including participant recruitment and data collection.
5. Provision of first-line support to community project workers for data collection and equipment.
6. Support for Health Foundation partner meetings and training sessions.
7. Assisting with the preparation of promotional materials, project reports, and newsletters.
Applicants should have strong digital skills (including the use of project management systems and databases) and be effective communicators who are comfortable working with a range of care and health professionals.

Job responsibilities
General Duties
1. Maintain documentation (project plans, meeting notes, schedules, stakeholder contacts) to support the delivery of the project plan and the monitoring framework.
2. Work with all team members and delivery partners in the collection of information for status and outcome reporting.
3. Support the programme manager in the delivery of team meetings, training events, and focus groups.
4. Ensure all actions agreed by the project groups and workstreams are noted and that delivery is monitored and progress chased as necessary to ensure that accurate and timely progress reports can be produced as required.
5. Prepare agendas, take minutes, and distribute notes of meetings including typing up of project work groups and other meetings as necessary.
6. Manage the programme risk register including the collation and escalation of risks from project groups.
7. Work closely with the Project Manager to maintain programme documentation as required, e.g., stakeholder lists and engagement logs.
8. Manage the dissemination of project communications with stakeholders.
9. Manage electronic diaries to support the delivery of working groups and programme events, including arranging and changing appointments.
10. Act as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
11. Use the project database to collate reports, which may include reports to the Board and senior management as required.
12. Develop and maintain effective filing systems to ensure that information is kept securely and is accessible to other members of the team.
13. Participate in Research and Development activities as directed.
14. Be aware of and have commitment to and actively promote the principles of Equality, Diversity, and Inclusion. Comply with associated legislation and policies.
15. The post holder will participate in the rota for provision of in-hours Call Support to System Flow meetings, once appropriate training has been received.
16. The post-holder, once trained, will also be eligible to undertake out-of-hours Call Support which will result in additional payment.
Person Specification
Knowledge, Training and Experience
* Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience.
* Significant administrative/secretarial experience including initiating and maintaining office systems.
* Demonstrable experience in dealing with the public and handling sensitive and confidential information.
* Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint, and Access.
* Understanding of Confidentiality and Data Protection Act.
* Knowledge of NHS issues.
* Clear communicator with excellent writing, data entry, and presentation skills: capable of constructing and delivering clear information/instructions to staff and service users.
* Ability to work under pressure in a busy working environment and able to multi-task.
* Effective team working.
* Minute taking.
