As we scale, we need a highly organized Sales Administrator / Executive Assistant to support our sales team and leadership with admin, sales processes, and day-to-day coordination.
The Role
We’re looking for a proactive and detail-oriented Sales Administrator / Executive Assistant to help manage our sales operations and executive tasks. You’ll work closely with the sales team and leadership to ensure smooth operations, streamline processes, and improve efficiency.
Key Responsibilities
Sales Support
* Manage and update the CRM (HubSpot), ensuring data accuracy
* Assist with proposal preparation and documentation (avoiding Canva)
* Track sales pipeline and ensure smooth deal progression
* Schedule sales calls and follow-ups for the team
Executive Assistance
* Manage calendars, schedule meetings, and coordinate travel
* Filter and prioritise emails, ensuring leadership focuses on high-priority tasks
* Take meeting notes and follow up on action items
Customer & Partner Support
* Handle inbound sales queries and schedule intro calls
* Ensure partners and clients receive timely responses
* Assist in onboarding new partners and customers
Process Optimisation
* Identify and implement improvements in internal workflows
* Ensure follow-ups happen on time and nothing falls through the cracks
Who You Are
Highly organised – you love structure and keeping things running smoothly
Detail-oriented – nothing slips through the cracks under your watch
Tech-savvy – experience with HubSpot or similar CRMs is a plus
Strong communicator – clear, professional, and confident in handling emails and calls
Proactive – you take the initiative and solve problems before they arise
Sales-savvy – while you don’t need direct sales experience, you understand sales processes and can help keep things moving
Requirements
2+ years of experience in sales support, executive assistance, or similar roles
Strong administrative and coordination skills
Ability to work UK hours (if remote)
UK-based preferred for occasional face-to-face meetings
