Compliance Administrator – Compliance Team

Role
Providing office-based support for our team of Maintenance Managers, Engineers and Sub-contractors. Working as part of a team to ensure all works are co-ordinated efficiently and completed on time to ensure 100% Compliance and 100% Customer Satisfaction.
Responsibilities
1. Answer phone calls professionally
2. Deal with all enquiries in the central Compliance e-mail inbox in a timely manner, adhering to SLAs
3. Schedule work for the engineers, ensuring best productivity and efficiency, keeping travelling time to a minimum ensuring the labour chart is fully up to date
4. Ensure any defects found are highlighted, directed to the relevant department for processing into a report or quotation to be supplied to the customer in an organised and timely fashion
5. Reporting to the Compliance Manager and taking an active role as an important part of the FM Compliance team.
6. Keeping our inhouse Live Tracking Schedule Up to Date
7. Arrange OOH works - liaising with the engineers/sub-contractors and site
8. Ensure up to date notes are logged on Epix and the clients system. Ensure all relevant stakeholders are aware of any pertinent issues relating to a job or a site
9. Manage sub-contractor instructions, RAMS, updates and completion confirmation
10. Obtain uplifts from clients when required
11. Review all Certification and ensure uploaded in a timely manner adhering to SLAs
12. Ordering of parts, materials and equipment when required
13. Chase up hires, review and query the weekly on hire report
14. Progress completed jobs through to invoicing
15. Submit all Compliance related invoices to the clients
16. Approve material and hire invoices for payment – completing all relevant checks
17. Review and query weekly engineer productivity report
18. Assist with any admin duties
Person Specifications
1. High level attention to detail (reviewing legal documents)
2. A proactive approach to their work – offering suggestions and ideas to further improve the service we deliver
3. An ability to learn new systems and processes quickly
4. Excellent verbal and written communication skills
5. Experience in customer service principles and practices
6. Inputting information and updates into management databases
7. Proficient in Microsoft Office applications, including Outlook
8. Ability to liaise with clients, customers and colleagues at all levels
9. Can work under pressure with ever-changing workloads
10. Ability to work as part of a close team
11. Professional ‘can do’ attitude
40 Hours per Week - 30 minute Unpaid Break each day
