The sales co-ordinator will report directly to the Sales Logistics Manager to provide support to the Sales team. This role will be responsible for providing first class sales co-ordination, ensuring that orders are taken and processed in a professional, accurate and timely manner. You will provide a best-in-class service to our customers that always fosters a positive and professional image of the Nyetimber Group. RESPONSIBILITIES: Assist the Sales Logistics Manager with all incoming sales enquiries, orders and process all sales orders received either by phone or email. To assist the Sales Logistics Manager in providing exceptional ‘After Sales’ service by maintaining strong key customers, deal with other types of queries where necessary. This includes taking ownership of complaints and resolving with an appropriate solution. Be a point of contact for all sales administrative duties and enquiries for orders. Process all UK orders in a timely manner and follow up any aftersales and delivery queries afterwards. Provide information both externally and internally regarding product pricing, availabilities, delivery deadlines and schedules, etc. Communicate to the winery for any specific order or delivery requirements. Send out customer invoices in a timely manner. Co-ordinate and follow up sample stock usage/manage FOC or WAP forms & process requests. Co-ordinate and follow up limited spirits stock allocations for customers. Provide general administration support to members of the Sales team as and when required. Collating sales incentive / promotional offers and maintaining “retro” database. Prepare regular and ad hoc sales reports. To update and maintain the stock management system. Assist the warehouse team in processing orders and optimising truck and container fill. To manage and process all event order requests – liaising with winery & events teams. Monitor and maintain our internals systems and central CRM database for the Sales team. Working closely with the Sales Logistics Manager and International Sales Coordinator to support in tracking the allocation of limited wine stocks according to the agreed plan. Monitor the POS stock levels and ensure that all POS requests from Sales Managers, Accounts and Events are processed in a timely manner. Ensuring full and accurate compliance documentation and certification is in place for all orders in a timely manner. Proactively originating, developing and maintaining SOP and ‘How To’ guides. Raising and maintaining customer product specification sheets for the Sales team. Ensuring that SKU Info Sheet are up to date and accurate at all times. To cover the International Sales Coordinator duties and responsibilities in their absence. Undertaking such other duties commensurate with the responsibilities of the role and any other reasonable management request. QUALIFICATIONS AND EXPERIENCE: Experience using SAGE software is preferable. Proven experience in a sales administration or logistics coordination role, preferably within the wine and/or spirits industry. Familiarity with sales and inventory management systems, with experience in maintaining stock levels and processing orders. A background in providing exceptional customer service and handling inquiries and complaints with professionalism within a SME environment. Proven ability to manage administrative tasks such as order processing, stock management, and CRM database maintenance. Previous experience or knowledge of the wine, beverage, or hospitality industry is desirable. Ability to manage multiple tasks, meet deadlines, and handle high volumes of data accurately. Experience working closely with internal teams (Sales, Finance, Warehouse) and external stakeholders to ensure smooth logistics and sales processes.
