Job Role
To provide project management expertise, delivering key projects; comprising product, process and system development that will contribute to the enhancement of project management. To ensure current and future projects within the business are delivered in line with good practices in project management techniques, whilst ensuring key stakeholders and client expectations are met. With a responsibility for defining, planning, tracking and managing the project(s) to which you are assigned to.
Responsibilities
1. Manage the on-boarding process of new and existing clients, working closely with the Sales Department to on-board our clients, in the most professional manner, ensuring clear expectations are set and agreed by both parties around our project time-line, Key Milestones and working process to ensure a seamless and smooth running of the project from on-boarding to the after-sales handover.
2. Managing Client and Internal documentation, issuing Order Acceptance and Contract Variation Documentation to the Client, keeping a document tracker of the latest specification and drawing revisions. Ensuring the client and key departments are kept up to date, printing warranties for the Financial Director's signature, logging data, scanning onto our system and posting to the client.
3. Managing the Client and being the first point of contact for clients and internal stakeholders, creating and maintaining good client and internal relationships. Chairing meetings, liaising with the client via email, telephone and Teams. Ensuring Key Milestones are achieved whilst managing client expectations.
4. Managing the Project Time Line internally and externally, proactive implementation of communications/processes to drive all internal departments to adhere to set process flow, Key Milestones and operating procedures in order to meet agreed project critical dates - Issuing Project notifications to the business and arranging project focused meetings with key personnel. Chairing weekly Project Review meetings with key Managers and Directors, take a holistic look at current contracts and any issues surrounding these. Daily consultations with technical personnel, Supply Manager and Production Manager in terms of gaining foresight into progression through current contracts, and information relating to current contracts. Obtaining information from the Procurement and Supply Manager in relation to material lead times, confirming and relaying keys dates to the client to manage expectations - keeping the client updated with any supply issues, product availability and shortages affecting production.
5. Processing client driven change requests prior to design freeze, working closely with the Technical Team. Issuing drawing changes to the Design Team, instructing client driven drawing amendments by way of the modification form system. Chairing drawing review meetings ensuring adherence to specification. Issuing client driven specification changes to the Estimator ensuring the Quotation/Specification is updated each time a change is approved - issuing Contract Variations to the client and keeping the Accounts team informed of any financial changes affecting the Contract Value. Capturing costs that can be relayed back to the supplier, compiling supporting data and informing accounts to issue charges where applicable.
6. Working with the Dispatch Controller regarding amendments to delivery schedules, client build program delays, storage charges, waiting charges.
7. Creating Monthly KPI data to be issued to the Procurement Manager and Director for weekly meetings.
