Permanent Parts & Service Co-Ordinator required for locally homegrown business based in Hillsborough. Job Purpose: To plan all parts & field service activities to a high level of customer service, ensuring all engineering resource is fully utilised. Completion of all processes to enable accurate and timely billing of work. Duties will include: Identifying parts, preparing quotes and orders in line with customer enquiries and agreed internal parts processes Managing engineers' parts requests and updating all relevant internal systems Managing enquiries in line with internal and external customer Service-Level Agreements Building and enhancing relationships with both internal and external customers Support the Service Controller in daily planning activities ensuring a smooth an efficient flow of parts to engineers Processing purchase orders Usage of Company CRM system and customer portal systems Monitor and control service, resolving client technical/administrative queries and escalating/delegating where required Carry out invoicing and job costing tasks Ensuring paperwork is sent to customers and records are kept up to date Review and investigate customer queries and escalate where required Observe & demonstrate behaviour in line with the core values of the company Assisting with the processing of warranty claims in a timely manner Provide support to parts sales during busy periods and absence Up to date and clear administration To assist with maintaining WIP at a manageable level To assist with processing of service jobs & invoices Effective time management and allocation of resources Support the Service Controller to plan Field Service Engineers (including 3rd party Engineers) effectively and efficiently Management of customer enquiries Monitoring engineers documentation Ensure best practices are used when distributing Field Service Engineers jobs. Tomaintain and develop current processes and procedures in the upkeep of the internal documentation To always maintain a high standard of customer service To actively support the Service Controller and play a part in the planning and coordinating of all service work that is due to be carried out Develop own competence to meet requirements of job Undertake any other duties consistent with the purpose of this job Essential Criteria: Relevant parts experience within motor factors or commercial vehicle industry. Excellent communication and customer service skills Ability to prioritise own work effectively High level of organisation Ability to work as part of a team Hours of Work: Monday Friday 8.30 am 5.00 pm.
