Job overview
Working for the Respiratory and Sleep Physiology Diagnostic team for the new CDC centres based at one of the 3 locations, offering the highest standards of customer care to patients and other service users, adhering to departmental guidelines, Standard Operating Procedures and the Trust’s Values and Behaviours.
Delivering a high quality, efficient and responsive administration service, working for the Respiratory & Sleep teams to provide appointments to patients in accordance with the National 18 week Referral to Treatment (RTT) Standards and the 28 day Faster Diagnosis Standard.
Main duties of the job
1. To provide a booking service, working in partnership and liaising with Operational Managers, Business Support Managers, Secretaries, Clinicians and other outpatient colleagues to keep outpatient clinics utilised to optimum levels.
2. To provide a professional and efficient service to patients and service users.
3. To be responsible for booking, monitoring, organising and rescheduling outpatient appointments in accordance with RTT rules, escalating any capacity pressures or concerns to the Management Team.
4. To check clinic schedules daily to ensure that all appointment slots are effectively utilised.
5. To be responsible for booking of diagnostics for patients who will be attending outpatient clinics as required.
6. To be responsible for implementing established administrative/clerical policies within the Access and Performance Outpatient Booking Team and to ensure compliance with national guidelines, Trust policies/procedures and departmental protocols at all times.
7. To ensure the Trust’s Patient Administration System (IPM) is accurate and reflects the correct outcome and referral to treatment pathway.
8. To actively share knowledge with other members of the Access and Performance Outpatient Booking Team to gain an understanding of the wider outpatient service.
9. To work flexibly and cover duties of other booking team members during periods of sickness and annual leave to meet service needs.
10. Any other appropriate duties which may be required to meet the needs of the service.
Person specification
Education and Qualifications
* 4 GCSEs grade 4 or above including mathematics and English or equivalent e.g. level 2 literacy and numeracy qualifications.
* NVQ level 2/3 in Business Admin or other relevant subject.
* OCR Level 3 keyboard skills (or equivalent measurable level of skills).
Experience and knowledge
* Minimum of 1 years experience in a similar administrative role with a proven track record of achievement.
* Excellent IT skills with a working knowledge of Microsoft IT applications.
* Basic knowledge of Booking systems.
* Knowledge and understanding of the 18 week Referral to Treatment standards and outpatient clinic management and booking processes.
* Administration experience within an NHS setting.
* Operational knowledge of iPM and e-RS.
Skills abilities and competencies
* Good organisational and time management skills with the ability to prioritise conflicting workloads effectively.
* Ability to work in a pressurised working environment with frequent interruptions and change of work direction.
* Excellent communication skills and the ability to interact professionally with patients and the wider multi-disciplinary team.
