Achieve your ambitions – join us at JLL Role Purpose The role requires excellent organisational skills, the ability to commutate and articulate over the phone and in writing and taking a hands-on and proactive approach to the role. Be able to prioritise your workload and use your initiative to solve workplace queries. The key focus for this role will be to create a single and visual point of contact for client visitors and employees and to act as the primary interface between the internal operations of stakeholders and its clients. Providing services to the highest possible standards as well as representing the client and JLL values in appearance, presentation, and manners. Own and fully manage the courier service. You will take full ownership and manage the front of house experience; help orient and settle new and visiting staff and support the Senior facilities manager in providing a great workplace experience and provide the necessary support for business related events and community-based initiatives. In this role, you will bring your people focused skills including strong stakeholder management and relationship building, continuous engagement and communications as well as your ability to proactively support the needs of our staff, clients and business partners. Your ability to proactively resolve queries and issues will be the cornerstone to your success in this role. What this job involves Customer Service: Greet, assist and direct candidates/new hires/visitors and the general public to the appropriate staff member Receive, direct and relay telephone, email and other queries Administration of parking spaces for visitors, employees Arrange taxis for client staff and visitors as requested Book onsite meeting rooms and hospitality as requested Develop a close working relationship with key client stakeholders/partners, landlord, managing agents and all of the facilities vendors Own and fully manage the courier services, including but not limited to booking shipments, providing suitable packing material if required, receiving shipments from all different couriers, contacting the recipient, and ensuring mail is collected in a timely manner. Knowledge of customs rules would be an advantage but not essential Site Operations: Replenish when needed the beverages consumables in the break out spaces Cover Senior Facilities Manager role in event of annual leave/sickness Knowledge of Contractor management and supervision Assist Senior Facilities Manager when required in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works) HSE, Security & Quality: Liaise with site security team. Demonstrate permanent high level of security awareness, knowledge of emergency evacuation procedures, procedures for visits from local authorities as well as general Health & Safety Understand & actively support JLL’s Quality Management program Willingness to be a first aider and fire warden Additional Duties and Responsibilities The above is not an exhaustive list of responsibilities, further additional duties may be required to be performed to support the Senior Facilities Manager Every day is different, and in all these activities, we’d encourage you to show your ingenuity. Communication – good level written, oral communications skills. An influential communicator, with the ability to deliver clear and concise messages and identify mutually agreeable solutions.
