An exciting opportunity has arisen at Weston Hospital for an experienced team leader to join the Patient Access Team and support in managing a centralised team of circa 20 administrative and clerical staff who are responsible for the delivery of both inpatient and outpatient services.
The post holder will be responsible for supporting the implementation of the administrative and clerical processes within the Access team to enable a high quality, effective and focused services to be delivered. Leadership skills, excellent communications skills and being able to work with all levels of staff are crucial, with the ability to remain calm under pressure to meet deadlines. The post holder will be expected to organise and prioritise own workload as well as manage a team of circa 20 access staff, always ensuring the continuity of services. Motivational skills are essential to encourage collaborative working to improve services and performance where there may be resistance to change and to ensure that the patients receive the highest level of care through the set processes within the Access Team.
The post holder will also need sound knowledge around booking policies and procedures, RTT and NHSE wait time targets.
Main duties of the job
* Prepare, analyse and clearly communicate regular performance reports to the Access Team Manager, including demand and capacity metrics, waiting list size, backlog and referral levels.
* Support in maintaining the Access rotas, always ensuring adequate service provision.
* Ensure that the national targets and Regional Access policy are adhered to and implement processes to support the clinical teams in achieving the targets.
* Support with the investigations of patient complaints related to access, analysing any issues identified and identifying any faults in procedures, processes or the treatment of patients and making appropriate recommendations to avoid future occurrences.
* Assist the Patient Access Team Manager to monitor activity levels for outpatients and inpatients.
* Support in the delivery of DrDoctor functionalities for the Patient Access team specialties, assisting with any pilots/projects requested by the central outpatient's team.
* Line manage a team of administrative and clerical staff, including the recruitment and retention of staff and the management of any disciplinary, performance, attendance, and grievance matters within the team.

Person Specification
Knowledge and Experience
* Excellent knowledge of cancer and diagnostic NHS standards.
* Experience in the NHS or equivalent public sector organisation.
* Competent with Microsoft Word, Excel, Access and PowerPoint.
* Dealing with the public in a service provider role.
* Ability to act as an effective team manager/leader.
* Excellent knowledge around inpatient and outpatient booking procedures.
* Excellent knowledge around RTT and NHSE waiting time pressures.
* Understanding around the Patient Access Policy.
* Knowledge of demand and capacity modelling tools.
* Working within a confidential environment.
* Service improvement and project management skills.
Skills and Abilities
* Excellent verbal, numeracy and written communication skills, including ability to prepare reports for a variety of audiences, with the ability to communicate information that is often complex and sensitive in nature.
* Good problem-solving skills.

Qualifications and Training
* Experience of managing/supervising individuals or teams of people.
* Recognised Management Qualification or equivalent knowledge/experience.
