About the role: We are currently seeking an Estates & Facilities Assistant to join our Estates and Facilities department at The Bedford College group. As an Estates & Facilities Assistant, you play an important role in the success of our students through: Security, portering, maintenance and ground maintenance, health and safety testing, driving and cleaning. Having a full knowledge of the procedures for the opening and locking of all buildings, with intruder alarms being activated or deactivated as required, while checking that all unnecessary lights and equipment has been switched off and windows closed and secured. Patrolling College premises and property to maximise physical security of all assets and to provide a visible security presence. Monitoring the College CCTV systems in line with data protection procedures, and responding to any incidents as required. Reporting any problems or defects with any of the equipment, and liaising with the Police as require (as applicable) Maintaining, decorating and actioning minor repairs to plant, equipment, furniture, fixtures, fittings and the fabric of the building. Undertaking agreed maintenance tasks at designated campuses as requested by the Estates & Facilities Managers. Where applicable, monitoring plant and equipment to observe the correct operation. Identifying faults and turn off appliances where reasonably practicable when they are not required. Where applicable, and subject to reasonable access, ensuring that all gullies, gutters and rainwater pipes are cleared and free running. Keeping drains and grease traps clear and free from debris. Ensuring that all hard areas, grassed areas, drives, surrounds and grounds are kept neat and tidy and free of litter at all times. Cutting and tending hedges and grass, controlling weeds and completing weed spraying, maintaining flower and shrub beds & borders. At applicable campuses, maintaining cleanliness of the artificial sports pitches and maintaining appropriate maintenance records. Complying with all control measures identified within the departmental risk assessments and in conjunction with the Estates & Facilities Manager identifying and reporting any deficiencies and/or amendments that may be required to ensure that all risk assessments remain valid and effective. Undertaking Legionella checks through weekly flushing of outlets maintaining appropriate records. Where applicable, undertaking weekly fire alarm testing and retaining appropriate records. Managing and monitoring the use of the College car parks, making sure that the correct permits/tickets are clearly displayed (as applicable) Where applicable, issuing parking charge notices in line with the college car parking policies Providing portering services between all College departments, specifically, to ensure that all parcels received are correctly delivered, and signed for, to the relevant departments. Actioning all on-line requests as instructed by either the Estates & Facilities Manager or the Estates & Facilities Co-ordinator. Completing any office moves as required. Maintaining the cleanliness and upkeep of the premises during college closures and outside contracted cleaning times (clearing up spillages, restocking of consumables etc) and also reporting or removing graffiti from college internal/external areas using the appropriate cleaning methods and materials. Supervising and monitoring the use of the College's facilities by external agencies and hirers in consultation with the Estates & Facilities Manager. Ensuring that all facilities are in a clean and acceptable state prior to lettings and that they are returned to college use in an acceptable state following outside use. Driving College vehicles as required, abiding by the College’s insurance and registration requirements for use. Reporting any damage or defects found on any site either internally or externally on the online request system. Providing cover at any of the college campuses (in the relevant region) as required by the Estates & Facilities Manager or Estates & Facilities Co-ordinator.
