* To provide an efficient project administration service relating to the tendering and file management processes for sports pitch construction and installation projects.
* To provide a support service to the Head of Estimating and the sales and contracts teams as required.
RESPONSIBILITIES / ACCOUNTABILITIES/ TASKS
* 1.1. To complete pre-tender qualification questionnaires and to upload and send out completed PQQs, coordinating documents and samples as required.
* 1.2. To log receipt of tenders into the office and issue to Contracts and Sales personnel.
* 1.3. To send out sub-contract enquiries and collate returns.
* 1.4. To produce programmes of work using MS Project.
* 1.5. To produce method statements.
* 1.6. To complete and coordinate the data returns on all tender documentation and questionnaires, including the formatting of documents as necessary. To compile final response returns.
* 1.7. To administer samples and other paperwork to be submitted with tenders and questionnaire returns.
* 1.8. To assist with tender feedback to ensure continual improvement in tender development and submission.
* Contract / Projects Administration
o 2.1. To assist Contract Managers with project paperwork, including but not limited to waste carrier licenses, planning documentation etc.
o 2.2. To compile start-up files for sites, including but not limited to Health & Safety files for CDM Regulations approval.
o 2.3. To send out and compile returns on sub-contractor agreements, including but not limited to H&S Declarations, and DBS Director Declarations.
o 2.4. To maintain project documentation regularly to ensure it remains up to date at all times, including but not limited to updating legislation registers, updating paperwork according to business needs and project manager requests, whilst maintaining compliance with policy and procedures.
* General
o 3.1. To cover and/or assist with production of offers, budget costings, letters of interest etc to send to prospective clients, together with brochures and samples, as required.
o 3.2. To maintain effective communication with sites as required.
* Other Duties
o 4.1. To undertake any other duties as may be required from time to time but that shall remain within the competency and skills of the post-holder.
