Following a successful business case, we are able to advertise two posts for the right candidate to join the Women & Children's Medical Secretarial team. This is an exciting time to join us as we are looking at new ways of working within the Team.
We are looking to recruit self-motivated, well-organised Medical Secretaries who enjoy working in a busy but friendly environment. This role would ideally be suited to someone with secretarial experience; while not essential, an NHS background would be advantageous.
The successful applicants will have excellent communication skills, good interpersonal skills, effective time management, and strong IT skills, including audio typing. The use of Office and Outlook is essential, and previous experience of CareFlow would be beneficial.
Total of 52.5 hours per week for Obs and Gynae (two posts) and total of 22.5 hours per week for Neonates (one post).
Main Duties of the Job
* Manage multiple tasks ensuring that deadlines are met.
* Prioritise and organise own workload; make decisions and initiate action where necessary, ensuring the smooth running of the office.
* Ensure that the results of tests and investigations for patients are received; shown to medical staff, and all relevant ongoing arrangements/investigations are carried out.
* Using own initiative, ensure that results requiring immediate action are presented to the Multi-Disciplinary Team in a timely manner and clinical responses are completed.
* Arrange and service meetings/lectures/conferences as requested; take and transcribe minutes and any follow-up actions as requested.
* Using the in-house patient data tracking system, locate, retrieve, and deliver medical records/x-rays/investigation results.
* Ensure that all patient case notes passing through the office are booked in and out appropriately.
* Ensure malignancies are notified to the relevant Cancer Registry following clinical approval.
About Us
The successful applicant will be working alongside a team of Obstetrics, Gynaecology, Colposcopy, and Paediatric Medical Secretaries within the Women and Children's Centre. You will be supporting a number of Consultants and Nurse Specialists in various specialties, providing a variety of interesting work.

Person Specification
Education/Training
* 4 GCSEs grades 9-4 or equivalent.
* RSA stage 3 typewriting, word processing or A-C.
* Knowledge of Microsoft Office packages e.g., PowerPoint, Word, Excel, and other IT skills.
* Ampsar.
* EDCL.
* NVQ 3 Business Admin.
Experience
* Experience in Audio Typing.
* Secretarial procedures.
* Knowledge of software programs.
* Medical terminology.
* Customer care experience.
* Medical Secretarial / PA.
* Experience of compiling rotas.
* Knowledge of PAS systems.
