Role Summary:
The Commercial Administrator will work alongside the Commercial Manager, Managing Quantity Surveyor, and the wider Commercial Team to provide all necessary administrative support.
Key Responsibilities:
1. Maintaining registers of key contractual documentation.
2. Tracking key contract documents.
3. Liaising with internal and external teams to ensure that all contractual documentation is fully signed and completed promptly.
4. Undertaking quality checks on key contractual documents to ensure compliance with internal procedures and contractual requirements.
5. Supporting the commercial team in handling ad-hoc commercial and operational enquiries.
6. Supporting the commercial team in the co-ordination of meetings and the capture and issue of minutes in a timely manner.
7. Supporting the commercial team in the preparation and distribution of key contractual documents.
8. Working with the commercial team to maintain a comprehensive and effective electronic and hard copy filing system of contractual documentation for all projects.
9. Providing general administrative support.
10. Supporting the wider M40 team on general administration and answering telephones.
11. Supporting with Internal Department Audits.

2. Good level of communication skills, with the necessity to liaise with internal staff and external bodies.
3. Ability to articulate yourself well, in a professional, coherent manner.
4. Thorough, with a precise attention to detail.
5. Patience, and the ability to remain calm in a dynamic, fast-paced environment.
6. Flexible and willing to adapt to change.
Qualifications:
1. Highly proficient in the use of Microsoft Word, Excel, and PowerPoint.
2. Ability to work independently and collaboratively with senior management and department leads.
3. Excellent written and verbal communication skills.
4. Excellent organisational and project skills.
5. Have a flexible approach and be willing to work with the wider team.
