Job Overview
We are seeking a part-time (15 hours per week) motivated and enthusiastic Medical Secretary, with a wide range of office skills to provide administrative and secretarial support to the Hillingdon Memory Service / Older Adult CMHT. The postholder will be the primary point-of-contact for the medical, nursing, and allied staff and will be responsible for managing enquiries that come into the service in a manner responsive to customer needs and in accordance with consent to share information.
Other duties include providing secretarial support to the memory service / CMHT, which will include management of appointments, processing letters and correspondence on behalf of the doctors, minute taking, post distribution, receiving and disseminating information, maintaining the electronic patient database, and general administrative duties.
Main Duties of the Job
The post holder will be an integral member of the Memory Service Team, providing secretarial / administrative support to the medical staff within the team as defined in the principal responsibilities of the post. The post holder will also act as one of the central points of contact for patients / relatives, ensuring a positive corporate image and good client care is promoted at all times.
The post will be supervised, and the post holder will liaise closely with other administration staff on a day-to-day basis as an inpatient Service manager, and other departments as necessary. The postholder will be required to provide cover for the other administrative staff within the Memory/ CMHT service as and when necessary and during periods of absence, to ensure the continued smooth running of the service.

Detailed Job Description And Main Responsibilities
To provide efficient and effective secretarial and administrative support to the Memory Service. The post-holder will be expected to work without immediate supervision and to ensure that all duties are carried out to a high standard in liaison with clinical and managerial staff.
Main Duties And Responsibilities
* To prepare and distribute documents by copy or audio typing using Microsoft office software and Systmone/Patient data base (letters, memos, assessments, and reports, etc.), ensuring that all policies and procedures are adhered to.
* To deal with telephone calls, correspondence, and direct contacts with patients and other internal or external agencies in an appropriate and professional manner, using judgment and discretion where necessary and to refer complex matters to relevant members of the memory clinic team.
* To arrange and service meetings, taking minutes as and when required.
* To ensure that confidentiality of patient information is maintained at all times, making sure that the electronic system is up to date and that patient records are scanned and uploaded onto the electronic database in line with Trust policies and procedures.
* To supervise and undertake annual appraisal with Band 3 administrators.
Person Specification
Education/Qualifications
* Good standard of education, including GCSE (A*-C) or equivalent in English and Maths.
* RSA III or NVQ III or 3 years secretarial experience.
Experience
* Relevant experience working in a medical secretary / admin / PA capacity.
* Experience of using IT systems and patient data systems.
* Experience of using Microsoft Office.
Skills and Knowledge
* Experience in audio typing.
* Fast and accurate typing (minimum 50WPM).
* Ability to communicate effectively in English, both verbally and in writing.
