We are searching for a highly motivated Administrative Assistant with 3+ years Admin experience to support multiple managing directors and their respective legal teams across various office locations/time zones. Previous experience in supporting executives or lawyers and managing complex diaries is essential. The role requires exceptional multitasking abilities, strong communication skills, and a keen attention to detail.
Responsibilities
* Supporting MDs and their teams
* Maintaining detailed calendars and prioritizing meeting requests
* Providing legal spend management support and proactively managing legal billing for the teams
* Booking travel arrangements (cars, international flights, accommodation, and visas)
* Expense management, ensuring expenses are processed in a timely fashion
* Coordinating internal meetings with senior leaders and high-level stakeholders at the firm and forming good relationships with Executive Admins throughout the firm
* Implementing divisional policies and providing guidance to their teams
* Maintaining a strong understanding of firm policies to allow handling of certain issues independently
* Participating in general administrative duties and taking on ad-hoc requests as required
Skills
* 3+ years of Admin Assistant experience
* Excellent interpersonal and communication skills
* Strong proficiency in MS Word, Excel, PowerPoint, and Outlook
* Strong organizational skills, coupled with great attention to detail
* Ability to solve problems quickly and efficiently
* Self-starter with excellent anticipation skills; problem solving; follow up and judgment
* Comfortable working with people at all organizational levels
* Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline-driven environment
* Must be able to prioritize a variety of time-sensitive tasks
* Team player with a positive attitude
* Highest degree of integrity, professionalism, diplomacy, and discretion required with the ability to handle highly sensitive, confidential information with a high degree of integrity and confidentiality
