We are expanding our visibility through conferences, webinars, and regional meet-ups and, therefore, are looking for a Senior Event Specialist to join our growing team. This is your opportunity to take ownership of impactful events—from speaker outreach and venue selection to flawless execution and post-event analysis—while building meaningful connections that amplify our brand.
Reporting to the Director of Marketing, the Senior Event Specialist will oversee the end-to-end planning and execution of StarFish Medical’s events. You will be instrumental in sourcing and engaging high-profile speakers, securing ideal sponsors and venues, and ensuring every detail aligns with the company’s goals and brand.
This role requires a willingness and ability to travel to various locations in Canada and the US as needed.

Your day may include:
Event Planning & Execution
* Conceptualize, plan, and execute events, including conferences, webinars, meet-ups, and tradeshows.
* Collaborate with cross-functional teams to align event objectives with business goals.
* Manage budgets, negotiate vendor contracts, and track expenses to ensure cost efficiency.
* Identify, secure, and manage event sponsorships to enhance visibility and align with event objectives.
Speaker Selection & Management
* Work with the Senior management team to proactively identify and recruit high-profile speakers using creative outreach and networking strategies.
* Build and maintain relationships with speakers, ensuring seamless communication and logistics coordination.
* Manage all speaker needs, including travel, accommodations, presentation materials, and post-event follow-ups.
Event Venue & Catering
* Research, evaluate, and secure venues that align with event goals, branding, and audience expectations.
* Collaborate with vendors to finalize AV, catering, and on-site logistics contracts.
* Oversee food and beverage arrangements, ensuring compliance with safety standards and dietary preferences.
Branding and Messaging
* Ensure all events are consistent with the company’s brand and messaging strategy, creating cohesive and impactful experiences for attendees.
VIP Engagement
* Plan and organize VIP activities, including pre-conference socials and post-event dinners, to create memorable experiences.
Post-Event Analysis
* Collect and analyze feedback to measure event success and identify areas for improvement.
* Provide detailed post-event reporting to inform future planning.
What We’re Looking For:
* Minimum 5+ Years of Experience: In event management, ideally in a B2B technology or design-focused corporate environment.
* Event Expertise: Proven skills in planning and executing in-person and virtual events, managing vendors, budgets, and logistics.
* Digitally Savvy: Proficiency with tools like Eventbrite, Mailchimp, Salesforce, and virtual event platforms.
* Exceptional Communication: Strong interpersonal skills to engage speakers, clients, vendors, and team members, with the ability to influence without authority.
* Data-Driven Approach: Advanced skills in Excel, CRM tools, and reporting to manage attendance data and evaluate event success.
* Team Collaboration: A track record of meeting deadlines while fostering positive team relationships.
* Travel Flexibility: Willingness to travel 4–5 times per year, including to U.S. locations.
* Education: A bachelor’s degree in marketing or communications or a related field is preferred.
