Eden Scott is delighted to be partnering with ANM Group to recruit an experienced professional for the position of Facilities Manager.
Developed in 1990, Thainstone Auction Centre is the largest purpose-built auction centre in Scotland. Its facilities are used for the sale of livestock, motor vehicles, machinery plant and equipment, events, and Sunday Market. It is the main destination for the rural sector in NE Scotland, and the high concentration of farmers and footfall has led several businesses involved in the sector to rent permanent retail units, resulting in long-standing tenancies. Thainstone Centre and grounds extend to approximately 40 acres.
The role is based at Thainstone Centre, Thainstone, Inverurie, but also covers other Group sites/properties such as Caithness, Elgin, and Dornoch occasionally when required.
This new role has been created to streamline property operations, ensure regular maintenance and preventive measures are implemented across our sites to extend the lifespan of buildings and equipment, reduce the risk of costly breakdowns, and implement sustainable and energy-efficient practices.
Main Duties:
* Negotiate and plan essential business services.
* Ensure that buildings and facilities are maintained, operational, and meet the required regulations.
* Document facilities processes and procedures.
* Monitor PPM requirements, negotiate tenders for work, and oversee work with contractors.
* Inspect buildings and structures to determine the need for maintenance, repairs, or renovations.
* Monitor work assigned to workers and contractors to ensure satisfactory completion.
* Use performance management tools and recommend agreeable service levels and improvements.
* Ensure quick response to emergencies and breakdowns, addressing them appropriately.
* Handle insurance plans and service contracts.
* Manage costs effectively.
* Maintain financial and non-financial records, including compliance certification, invoicing of rent and service charge, and budgeting and reconciliation.
* Be hands-on when required.
Qualifications & Experience:
* Proven experience as a property manager or in a relevant position.
* Experience in appointing and managing contractors, well-versed in technical operations and facilities management best practices.
* Experience in managing staff.
* Familiarity with lease documentation.
* Excellent communication, problem-solving, and analytical skills.
* Organized with the ability to manage and lead projects and teams.
* Strong attention to detail and customer service skills.
* Proactive with the ability to manage a varied workload.
* Knowledge of basic finance principles.
* Excellent verbal and written communication skills.
* Strong organizational and leadership skills.
* Good knowledge of Microsoft IT packages.
* Contactable outside of hours to handle any emergency situations that may arise.
