Our small Canadian-born business was founded in 1978 and has become a global organization that now spans 120 locations across 20 countries. * Understand and relay timescales to all stakeholders for each mobilisation or handover.
* Ensure meetings are planned and setup for all stakeholders in accordance with the timescales, ensuring each person understands their responsibilities.
* Ensure key data and documents that are required to mobilise or transition out clients, properties and leases is provided. This may also include extraction or upload of documents to/from external/internal datarooms
* Gain knowledge of the structure of the set up required in respect of the client/property/units/ leases and be able to relay to the Lease Analyst Manager and present the necessary documents required to undertake their element of the set up.
* Reviewing and approving of new clients on Yardi Voyager database. You will also be expected to gain Voyager knowledge to undertake a set up.
* Provide regular updates on actions toa all and where necessary escalate non-compliance or response to Line Managers & Lead Directors.
* Take overall responsibility for the maintenance and accuracy of the Transitions team job tracker for incoming and outgoing instructions.
* Assign and/or attend Transitions calls, assisting with recording of actions and issuing updates.
* Ensure relevant legal or RICS letters are completed and issued (e.g. RICS bank letters and LOLER letters)
* Review of content of tenant Welcome Letter packs for all Mobilisations (produced by the Transitions Team Co-ordinator)
* Oversee the Transition team mailbox and ensure that the current processes are adhered to and the responses and actions are dealt with promptly and filed maintaining an audit trail at all times
* Become proficient in the running of various reports from Yardi Voyager to obtain updates.
* Ensure the teams processes and procedures are documented and thereafter reviewed annually.
* Attend Operations Meetings and provide updates on current/outstanding Mobilisations and handovers
* Participate in projects for the wider REFIM business units in order to undertake improvements and enhancements to the operational business.
* Support on pitches providing high level mobilisation plans and wording where necessary.
* To gain a detailed working knowledge of Voyager and ensure sharing of Voyager knowledge within the Transitions Team

Prince 2 preferred but not essential
* Confident in learning and implementing new ways of working including systems and processes.
* A high level of general property management knowledge
* Yardi Voyager knowledge preferred.
* Prince 2 Project Management qualification preferred.
* Ability to communicate and deliver a high-quality service under the pressure of high volumes and tight deadlines.
* Ability to manage and prioritise teams tight & conflicting deadlines.
* Flexibility and commitment to completing the task in hand.
* Strong analytical skills and problem-solving abilities
* Attention to detail skills to review and approve set up information.
* A tenacious but understanding nature to encourage others to complete their tasks but can also identify when others need additional support to do this and can relay to line managers in a professional manner.
* Excellent communication skills and ability to work with a variety of stakeholders.
* Confidence to deal with all levels of seniority.
* Accountability for all client and team work within their responsibility
