Part-Time Executive Assistant
Location: Leicester
Salary: £30,576 (pro-rata £24,461 for a 32-hour working week)
We are recruiting for a vibrant charity based in Leicester who need an EA to join their team on a permanent basis, to support their busy CEO. Please note, this job is part-time for 32 hours a week.
Role Overview: We are seeking an Executive Assistant to provide proactive day-to-day support to the Chief Executive. This role involves delivering high-level administrative and secretarial support, contributing to the smooth running of all our operations, both internal and external.
Key Responsibilities:
1. Provide day-to-day administrative and secretarial support to the Chief Executive, Board of Directors, and Executive Team.
2. Manage correspondence, including emails and telephone inquiries, in the Chief Executive’s absence.
3. Maintain effective and up-to-date filing systems.
4. Support all departments with travel arrangements, accommodation, and conference bookings.
5. Manage and maintain existing databases and set up new ones as needed.
6. Coordinate meetings, including AGM, Board, Resources Committee, and sub-committees.
7. Prepare agendas, collate reports, and record minutes of meetings.
8. Assist with the preparation of funding applications, official documents, and key events.
9. Play a lead role in specific projects as agreed with the Chief Executive and Executive Team.
10. Support the procurement of legal, audit, and insurance services.
11. General executive administration tasks, including managing vehicle tracking, mobile telephone, and WiFi contracts.
Requirements:
1. Strong administrative and secretarial skills.
2. Excellent communication and interpersonal skills.
3. Ability to manage multiple tasks and work under pressure.
4. Proficiency in IT and database management.
5. Experience in a similar role is preferred.
6. Flexibility to work some unsocial hours, including evenings.
