Job Summary
The Division of Surgery covers the following specialties - Anaesthetics, Trauma and Orthopaedic, General Surgery, Gynaecology, Pain Management, Urology, ENT. The post holder will provide efficient, effective and comprehensive clerical and administrative support to the Surgical Ambulatory Care Unit. The post holder will work in accordance with standard operating procedures and trust policies and procedures, to ensure patients requiring procedures within the department have their pathway managed efficiently and effectively. To provide support to registered nursing staff and other healthcare professionals in the delivery of patient care at a level determined by training, competence and experience. They will also assist in the maintenance of the care environment and perform clerical and ancillary roles as requested. Will be based on SACU but expected to go medical records on a weekly basis to file loose notes. To undertake duties for which training has been received and where relevant, competency based assessment successfully completed.
Main duties of the job
1. Provide a high quality reception service, meet and greet patients demonstrating optimal customer service skills, addressing patients queries and providing information within your remit or seeking advice and guidance as necessary.
2. Manage incoming calls and receiving information via other sources from patients, relatives and other members of the trust team, managing, documenting and communicating appropriately to support in the management of the department and patient pathways.
3. Always demonstrate a professional etiquette.
4. Handle, maintain and track files and/or patient records accurately, confidentially and sensitively according to approved organisation and governance standards.
5. Receive hard copy and electronic referrals, inputting data to patient information systems accurately and timely in accordance with procedures.
6. Liaise with other members of the clinical and operational team regarding patient queries or scheduling issues.
7. Ensure all cancellations are managed effectively in line with the trust access policy and electronic pathways are updated appropriately.
8. Prepare patient records and information in advance, ensuring all medical notes are available and tracked in and out of the department.
9. Admit and discharge patients in an effective and timely manner.
10. Plan, organise and prioritise own workload whilst accepting direction and delegation from the Ward sister, Care Group Support and Care Group Managers.
11. Provide and receive routine information as assigned to support colleagues, clinicians, patients and other departments and clients.
12. Request necessary items, information or services from other departments.
13. Maintain confidentiality and adhere to all organisational policies relating to the job.
14. Discuss with the Senior Sister any suggestions for service improvement based on experiences within the different specialties.
15. Photocopy, fax and print as appropriate to the job.
16. Maintain and manage specialties filing systems.
17. Handle post.
18. Use computer applications and all relevant databases as necessary and appropriate for the job.
19. Respond to prioritised work in appropriate order to ensure work is completed within agreed timescales.
20. Supervise and support junior or new members of the team Non-Clinical.
21. Support registered nursing staff in ensuring communication systems meet the needs of patients, carers and staff. This will include referring carers and visitors on to the appropriate registered nurse; adhering to the Trust's complaint procedure with regard to formal and informal complaints; updating notice boards attending staff meetings and where necessary acting as a unit representative at specific meetings at the department manager's request.
22. Ensure that all areas within the department are clean and tidy.
23. Ensure that adequate stock levels are maintained as designated by department manager.
24. Receive, check and appropriately store deliveries to the unit.
Person Specification
Qualifications Essential
* GCSE 'O' Level English Language Grade 'C' or above.
Knowledge Essential
* Must demonstrate a knowledge of keyboard skills.
* Must demonstrate good communication and interpersonal skills.
* Must demonstrate good organisational and time management skills.
* Must be able to demonstrate an understanding of the principle of effective filing system.
OTHER Essential
* Must be able to demonstrate an understanding of the employee's responsibilities in relation to the Health & Safety at Work Act.
