Project Officer - NHS Transformation Team Hours: 37.5 hours per week, Mon-Fri. We are looking for a dedicated Project Officer/Administrator to join our Transformation Team at the NHS, where you will play a pivotal role in facilitating impactful transformation initiatives. As a Project Officer, you will be at the heart of our transformation efforts, ensuring that operations run smoothly during meetings and workshops. THE ROLE In this HYBRID role, you will work across multiple teams, adapting to the evolving needs of the business. Your objectives will be regularly reviewed to ensure alignment with organisational priorities, giving you the opportunity to contribute meaningfully to our goals. Project Support Assist in the planning and execution of projects in alignment with the Transformation Team's priorities. Coordinate resources and track project progress to ensure timely completion and achievement of objectives. Support project documentation and provide administrative oversight to maintain project alignment with strategic goals. Meeting and Workshop Coordination Arrange and set up meetings and workshops, ensuring all logistical details are meticulously handled. Support pre-work activities, facilitate sessions, and document meeting outcomes comprehensively Prepare detailed reports and summaries from workshops and meetings. Communication and Liaison Serve as the primary contact for returns from the Programme, Senior Responsible Owner (SRO), and other key stakeholders. Maintain professional and efficient communication channels across the Transformation Team. Document and File Management Manage the online Teams repository of files, ensuring all documents are organised and up to date. Conduct regular reviews and updates of file structures to maintain accessibility and relevance. Administrative Support Execute general administrative tasks, including minute-taking and diary management for the Transformation Team. Provide assistance in preparing reports, presentations, and official correspondence. Collaborative Engagement Work closely with both the PMO team and Out of Hospital Commissioning teams as part of the Transformation Team efforts. Actively participate in team initiatives to drive process improvements and transform service delivery. ABOUT YOU Experience, Knowledge & Qualifications Significant administrative or relevant experience including initiating and maintaining office systems. Experience in dealing with sensitive and confidential information. Knowledge or experience of minute taking or note taking skills. Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access. Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience. Project management qualification or equivalent experience Knowledge of NHS issues. (desirable) Understanding of Data Protection Act (desirable) Communication Skills Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/ instructions to staff and service users.
