Job Overview: We are seeking an experienced Administrator to provide support to our Sales and Account Managers by arranging appointments and site visits for our business customers and assisting them with queries. You will be responsible for administering a number of large contracts, liaising with business customers to arrange appointments and provide reports and certificates, whilst adhering to agreed service levels and ensuring customers receive high levels of customer service, and the department meets its performance targets. Key Responsibilities:
* Arranging appointments : Answering phone and email enquiries and booking appointments for our business customers, taking every opportunity to build relationships and identify opportunities for the Sales team.
* Arranging Site Visits: Managing enquiries for site visits, providing quotations, confirming and arranging visits, producing reports and documentation, and following up with customers afterwards to ensure satisfaction with the service and promote repeat business.
* Administering large nationwide contracts: Managing all day to day aspects of our largest contracts including receiving and recording referrals, arranging appointments, liaising with doctors, and ensuring service levels are achieved or exceeded.
* Supporting the Sales & Account Managers: A variety of tasks including supporting with the onboarding of new business customers, processing onboarding documents and contracts, conducting account reviews with business customers to discuss their feedback, data gathering for future sales campaigns, or other tasks required to enhance the effectiveness of the sales team.
* Supporting business customers with queries: Handling, resolving or escalating a range of potential queries from an invoice dispute to a request for more availability in their local clinic, you will be a primary point of contact for businesses requiring support and will play a vital role in triaging queries to ensure they are dealt with at the appropriate level.
* Handling complaints and issues: Handling issues and complaints calmly and professionally, ensuring the correct procedure is followed and that the issue is resolved or escalated as required.
* Supporting the Service Delivery Team: We work as a team, and at busy times, you may be given the opportunity to learn other areas of the department and be asked to support with other tasks including doctor recruitment, scheduling clinics, liaising with suppliers etc.
The ideal candidate will have:
* Experience: Minimum of 3 years of experience in a similar role (e.g. sales/customer service administrator) preferably with experience working in a B2B environment.
* Excellent Communication Skills: Excellent verbal and written communication skills, able to adapt to different audiences and to communicate effectively across departments.
* Customer Focus: A strong commitment to providing exceptional customer service and understanding of how to meet the expectations of business clients.
* Excellent Organisation Skills: Ability to manage a varied workload and prioritise work effectively.
* Problem Solving Abilities: A good problem solver, able to identify appropriate solutions and think outside the box in challenging situations.
* Commercial Awareness: Able to demonstrate commercial awareness and effectively prioritise workload and queries according to business value, to promote the continued growth of the business.
* IT Skills: Proficient in using various software including CRM (We use Zoho) and Microsoft Office Suite including Word, Excel and Outlook.
