The Opportunity We are looking for an Executive Assistant join our team as part of our financial services business in London.
As part of the global expansion of the Maples Group’s financial services offering, our London office opened its doors in 2015.
Located in Bishopsgate, a commitment to service excellence and investment in our people quickly established London as a key part on Maples’ European footprint, which also includes offices in Ireland, Luxembourg, Netherlands and Jersey.
The Executive Assistant reports to the Head of Fiduciary Services in London.
The Executive Assistant is responsible for assisting the Head of Fiduciary Services of MaplesFS in London with corporate, general, secretarial and PA duties.
Key Duties: Scheduling and organising meetings, appointments and teleconferences with clients and internal senior management General calendar management Making travel arrangements and other local hospitality bookings Preparing marketing notes and expense reports Assist in the preparation and editing of legal documentation, contracts, letters, presentations and memos in line with corporate guidelines Support in the planning and execution of marketing activities including conferences and other events Coordinating and attending internal committee meetings and taking minutes as a formal record of the meetings, including recording, tracking and following up on action items Assisting in tracking team deliverables including time sheets, accounts receivable, compliance deadlines and checklists Assisting with the drafting, proof-reading of letters, documents and presentations Maintaining complex spreadsheets and databases Assisting with other administrative and secretarial duties as needed What You Bring Previous experience in corporate services would be an asset At least 5 years’ secretarial, personal assistant or administrative experience in a professional office environment A minimum of 2 years of supporting senior management roles An excellent knowledge of Microsoft Office A minimum typing speed of 55wpm with complete accuracy, and be comfortable using various software, including word processing, spreadsheets and presentation software Impeccable attention to detail, professionalism and strong organisational skills Must be able to use own initiative, be proactive, work well under pressure to meet deadlines and be able to maintain confidentiality at all time Overtime may be required occasionally on evenings and/or weekends Benefits & Rewards The most enduring professional relationships are reciprocal relationships.
