We'd like you to join us as a Clinical Administrator to support our team of Nurses at our Woodlands service in York. Woodlands provides specialist Level 2 Neurological Rehabilitation and Neurobehavioural services for adults in York. What you'll be working: Reporting to the Head of Nursing, your responsibilities will include: Management of the clinical rota, including covering last minute sickness; contacting bank and contracted staff for additional shift cover, and liaising with agencies to ensure that staffing needs are met where we are unable to meet them internally. Management of the holiday calendar for clinical staff. Logging annual leave and staff sickness onto the rota and the payroll system. Sending emails and communications to staff on behalf of the Senior Leadership Team. Typing minutes for meetings for various departments within the unit, as well as booking meetings and inviting staff. Liaising with HR to book new clinical staff onto training and supernumerary shifts. Completing spreadsheets and reports for Head Office as required. Printing and updating paperwork for service users regularly and liaising with the nursing team to ensure these are kept up-to-date. Aiding with the recruitment process for clinical staff: creating job listings on Indeed and NHS jobs; contacting candidates to book interviews, and sending offer letters to successful candidates. Applying for and tracking DBS checks for new staff. Completing ad hoc administrative duties as required, such as formatting and creating documents and letters. Providing cover for the rest of the admin team, including reception, when needed to cover annual leave and sickness. Answering the phones, screening calls and directing them to the relevant persons. Working full time 37.5hrs per week Permanent What you'll have: Strong organisation skills Previous experience as a Secretary or Administrator Excellent communication skills Attention to detail Working closely with the manager to complete administration responsibilities.
