Location: Rutherford Appleton Laboratory (RAL) Harwell Campus, Chilton, OX11 0QX. This is not a remote role. Some elements of hybrid working flexibility, for the right candidate, will be considered e.g. school holidays or 1-2 days (maximum) at home. Please identify on your application.

About the Role
The role is essential to the performance of the CLF Director within the organisation and the department’s collective performance and there is no role within CLF that is more integrated and sensitive than that of the Executive Assistant (EA). The role will be broader than supporting the Department Director; and requires someone that can ensure the department runs well from an administrative and external reputation perspective.
Main Responsibilities
As EA your day job will vary but will include the following tasks:
* Supporting the Director’s day-to-day activities, prepare briefings, prioritise to make sure that deadlines are met, control a complex calendar, manage and monitor relevant budgets, organise travel and on occasion, travel for other senior staff.
* Be responsible for developing and organising programmes for VIP visitors to the department and sometimes the wider STFC.
* Oversee the secretariat for efficient administration of external and internal meetings, prepare monthly briefings, write minutes occasionally when required and follow-up actions as required work with committee members to make sure they have the information they need to make decisions.
* Act as a conduit for information sharing between the CLF management team and the rest of the department and wider organisation as required.
* Senior line manage two divisional Personal Assistants, working with them to develop their skills and careers.
* Be responsible for the CLF annual appraisal procedures, in year awards etc., ensuring outcomes are enacted.
* Look for new ways of working, identify improvement and develop processes to give benefit to CLF, broadening and exporting these across STFC where appropriate.
* Build relationships at all levels so that you can knowledgeably represent Director and STFC to all stakeholders.
* Undertake a lot outside of the department, for our host organisation STFC and for international bodies.
* You will be expected to maintain and continuously develop your own professional competencies and act as a role model for other administrative staff in STFC.
Person Specification

* Someone who can be firm and resolute if necessary, in a diplomatic and disarming way and equally knows the limit of their authority.
* You will be exposed to all manner of sensitive information, extending to organisations beyond STFC, internationally and those involved in sensitive work and consequently your integrity and confidentiality will be beyond reproach.
* Flexibility and willingness to work outside the normal 9-5 hours.
