Business Services & Administration Co-ordinator
We seek a highly organised and proactive Business Services & Administration Coordinator to handle daily administrative tasks, customer service support, and supplier communications. This role will work across our family of brands to ensure smooth administration management and effective coordination with suppliers and customers while maintaining high service standards. There will also be daily office administration tasks to support our Senior Management and office teams.
Key Responsibilities:
1. Administrative Duties:
* Monitor and respond to complaints and inbound customer queries via email or phone.
* Process and track gift vouchers and remittances.
* Manage and maintain office presentation standards.
* Meeting co-ordination and planning.
* Format documents for managers and ensure proper organisation.
* Diary management for the senior team.
* Maintain office compliance standards.
* Maintain accurate employee records.
1. Customer Support:
* Respond to and resolve customer support tickets efficiently.
* Monitor inbound queries through all mail and social platforms.
* Communicate directly with suppliers to process orders and handle inquiries.
* Assist with supplier portal setup and product uploads.
* Manage legal document submissions and supplier documentation.
* Handle stock queries and update inventory levels.
* Coordinate meeting room bookings for supplier meetings and calls.
* Daily monitoring of order statuses and liaising with suppliers for timely processing.
Skills & Qualifications:
* Proven experience in office administration, customer service, or supplier management.
* Proficiency in using Microsoft Office Suite and other relevant tools.
* Excellent organisational and multitasking skills.
* Strong communication and interpersonal abilities.
* Attention to detail and problem-solving skills.
* Ability to manage time effectively and meet deadlines.
Preferred Qualifications:
* Experience with e-commerce platforms and supplier portals.
* Basic knowledge of accounting and financial remittance processes.
