Role overview:
To provide a professional and dedicated reception service to the account.
What you’ll do:
* Answer the switchboard in an efficient and professional manner, within a target of 5 rings.
* Announce callers when put through to the relevant extension, and take messages if the call cannot be taken at that time.
* Ensure all messages include time, date, caller's name, company, contact number, and reason for call, if appropriate.
* Pass messages to the recipient promptly.
* Greet visitors, ensuring all names and details are logged in the visitor’s book on reception and notify the appropriate EMCOR UK member of staff.
* Ensure all visitors have appointments and are accompanied at all times.
* Assist with maintaining the telephone extension list and ensure all appropriate staff have an up-to-date copy.
* Update notice boards with internal announcements and current vacancies, ensuring they are kept tidy.
* Project a professional and positive image at all times to both internal and external customers.
* Adhere to security processes regarding the access of staff and visitors into Premier House.
* Assist with the distribution of incoming faxes, particularly those marked urgent, and notify the relevant person on receipt.
* Monitor the car park and advise staff or visitors if they have parked inappropriately.
* Provide backup cover for the Post Room during periods of absence or sickness.
* Assist with meeting room bookings, ordering refreshments, and making tea and coffee when required.
* Oversee the building's archive storage room and ensure it is kept tidy.
* Liaise with departments to ensure archiving is carried out regularly.
* Ensure EMCOR brochures are readily available in the Reception area.

* Good IT skills including Word, Excel, and Lotus Notes
