We are looking to recruit a Management Support Administrator to join our friendly team at the Julian Hospital. You will be responsible for the day-to-day administration supporting the Ward Managers at Hammerton Court. While the work can be challenging, this is an excellent opportunity for the ideal candidate to gain experience within the NHS.
You should have good communication and interpersonal skills, along with a full commitment to the care and wellbeing of patients. This post requires a confident, level-headed individual who can support a busy ward in responding to changing priorities and delivering accurate work within tight deadlines.
As well as having a good standard of education, you should have relevant and recent administration experience, as well as good typing skills. You must possess excellent time management skills, a positive approach, and be able to remain calm under pressure. The ability to work on your own initiative and prioritise your own work is required, as is the capacity to be flexible.
This is a full-time role (37.5 hours) covering two wards; however, we would consider a part-time admin for each ward (18.75 hours each). Please state clearly on your application form if you would like a full-time or part-time role.
Main duties of the job
Main duties include but are not limited to:
* Diary management to include arranging appointments and meetings.
* Preparing reports on behalf of the management team and collating information for waiting lists.
* Supporting Clinical Team Managers / Clinicians with arranging supervision/appraisals, associated HR duties including recording sickness and sickness meetings, checking rotas, booking training, and completion of payroll requests while ensuring strict confidentiality due to the sensitive nature of staff information being processed.
* Using electronic systems to input and access information as required by aligned Clinical Team Manager.
* Attending and contributing to internal/external meetings relevant to the post, raising agendas, and recording minutes of meetings.
* Providing data as requested by the Care Group.
* Providing cover for other administrative staff during holidays and sickness across the Locality, including reception duties and any other general office duties as required.

Qualifications
* NVQ 3 Business Administration or equivalent or working towards.
* Pitman / RSA Typing / Word Processing or equivalent secretarial experience at intermediate level.
Experience
* Experience in a full range of secretarial procedures and systems gained through practice at intermediate level.
