To provide administrative support for the CEO and directors with day-to-day business operations. To organise extensive business travel arrangements for all employees worldwide and for clients visiting the UK. Responsibilities 1) Manage daily office operations Ensure effective communication and collaboration within the team, facilitating a supportive and efficient working environment. Organise and plan company events, team-building activities, and other staff engagement initiatives. Support with ad-hoc duties as required to ensure the smooth operation of the office. Carry out other administrative tasks as and when required Arrange for documents to be notarised and legalised, liaising with the local notary and Chamber of Commerce. Monitor and maintain sufficient stocks of refreshments for meeting rooms. Arrange for documents to be couriered and track where necessary 2) Co-ordinate International Travel Arrangements Organise extensive travel arrangements liaising with the Griffon Contact, Client, Relevant Travel organisations, Hover travel, hotels, local caterers, restaurants & Accounts. Produce letters of invitation for visitors requiring UK visas/ETA. Produce or assist with production of visit programmes. Arrange for interpreter as and when required. Set up accounts with local companies eg caterers, taxis etc. 3) Executive Assistant to director Provide administrative support to the CEO Set deadlines for production of Board report, chase follow up actions by specific deadlines and ensure that the report is circulated on time. Complete Expense Claims for CEO and complete Hospitality/Gifts register for any gifts/hospitality given or received.
