To provide an outstanding property management service to customers in our neighbourhoods and communities in line with the values of the Association of Local, Approachable and Customer Focused. To plan, manage and monitor the delivery of day to day, cyclical and planned major repairs to an excellent standard, keeping costs within budget. To undertake all repairs activity in line with agreed processes and budgets. To work proactively with the housing team to make our properties and neighbourhoods better places to live with satisfied customers.
Key Tasks
* Providing and ensuring the delivery of a professional, excellent property management service that demonstrates HHA’s values and makes a real difference to customers’ lives including ensuring our neighbourhoods and properties are well presented and maintained.
* Undertake bi-annual property inspections with a stock condition survey approach documenting the condition of the property and capturing replacement timeframes for key attributes.
* To maintain accurate, up to date property condition information at an individual attribute level by recording on the housing management system the property condition and replacement timeframes for key attributes.
* To prepare costed property maintenance plans for the Association’s property portfolio, using smoothing techniques as required.
* To source/select contractors, project manage and deliver the property maintenance plans which will include major house component (bathrooms, kitchens etc.) replacement.
* Understand the Decent Homes Standard (and any successor), rdSAP and HHSRS making sure the properties comply with the legislation and attain an EPC C level by 2028.
* Take a lead in relation to damp and mould notifications ensuring a satisfactory outcome is achieved.
* To manage the performance of third party contractors to deliver excellent customer satisfaction and continually refresh the list of approved contractors.
* To manage the repairs service so that it achieves performance KPIs.
* Working with a clerk of works monitor the quality of workmanship on new developments to ensure they are delivered to a high standard.
* Undertake pre inspections of works, diagnosing repairs required and post inspections, gauging customer satisfaction with those works and ensuring they are undertaken to the standard required by the Association.
* Ensure repairs are undertaken in line with the published service standards.
* Manage the relationship with the appointed gas contractor and ensure all properties have an in date LGSR.
* Manage the relationship with the appointed electrical contractor and ensure all properties have an in date electrical safety compliance certificate.
* Manage repairs to void properties to minimise the void period and ensure a property is clear, clean and safe and in line with the Association’s void standard.
* Regularly monitor neighbourhood service contracts, such as gardening and cleaning to drive up standards and deliver value for money.
* Co-ordinate and manage repairs arising from external fire risk assessments.
* Work within the budgets set and have clear financial awareness to deliver a value for money service.
* Ensure that the computerised housing management system is regularly, timely and accurately updated following all interaction with customers.
* Take ownership and have responsibility in the work they do, be accountable, especially on repairs complaints and repairs performance.
* Proactively identifies recurring and persistent maintenance problems and devises and delivers strategies to address them.
* Be innovative and creative in their approach to improving services.
* To carry out all duties in accordance with the Association’s policies and procedures and wider health and safety legislation.
* Produce and provide accurate and timely information on all repairs performance KPIs.
* To provide repair records and expert views on property condition in respect of disrepair claims.
* Co-ordinate approved disabled adaptations work to the Association’s properties being undertaken through grant applications.
* To undertake all the above duties for housing associations managed by the Association.
* To work productively with colleagues in the housing team keeping them informed of works and issues as necessary to enable the delivery of excellent customer service.
