We are looking for a hardworking, charismatic, and super organised EA with experience in supporting 1:1, ideally in a start-up, scale-up, or small business. This role will be supporting a very busy Founder as he scales his business. He runs a successful exclusive and luxury network that allows its members access to the most desirable clubs around the world and the chance to be part of a fabulous community where they can create new friendships, connections, and find their tribe.
While very charming, he is also very passionate about the business and brand. Like many Founders, he can be very demanding, has high expectations, and works at a fast pace. He believes in polite manners, immaculate presentation across all areas, and a great work ethic. He is a creative at heart; however, there is a lack of structure and systems in place, so a methodical mind who can help build that in as they scale is key. His EA will become his true right-hand and needs someone with high emotional intelligence and the confidence to manage up when necessary.
Currently, he is working extremely long hours and is in back-to-back meetings all day, working late into the night. He needs to find a better balance to spend time developing the long-term business strategy and brand. Hence, he needs a skilled EA to manage his busy inbox and diary, helping him run more efficiently and act as his gatekeeper. There is huge scope to grow and take on more projects and develop your role; however, it will require hard work and long hours. The team is small and dispersed internationally, and as his EA, you would act as a conduit between him and the team.
Executive Assistant Responsibilities:
* Complex diary management, including planning and scheduling meetings and managing time effectively.
* Organising travel itineraries: flights, transfers, accommodation, etc.
* Inbox management for the Founder, prioritising relevant emails and responding where appropriate in a timely manner.
* Acting as gatekeeper/point of contact for the Founder and being his eyes and ears.
* Preparing internal and external reports and documentation as needed.
* Building and nurturing relationships with stakeholders, clients, and key contacts.
* Helping to write and compose content on behalf of the Founder for community newsletters and across social media.
* Assisting with events, including organising logistics, people management, and attending events to help oversee and act as a representative of the Founder and the business.
* Sorting and managing all expenses/invoices.
* Assisting with business operations and implementing administrative systems and processes.
Private PA Tasks:
* Booking personal appointments.
* Sourcing gifts for friends and family.
* Booking personal travel.
* Assisting with management of private property.
* Handling household bills, car MOTs and services, property insurance renewals, etc.
* Being on top of important annual calendar dates (e.g., birthdays, anniversaries, etc.).
* Tracking all important documents, ensuring all is up to date (e.g., passport, driving licence, etc.).
* Ad hoc errands.
* This role will be based a couple of days per week in the office, one day from his home, and the rest remote.
* While well established, this company is still a start-up that is scaling, so it’s fast-paced and intense and needs someone with a flexible and adaptable nature.
* Excellent communication skills are essential, as is a natural client-facing manner and the ability to juggle workloads and prioritise.
* This role would suit someone who is confident, unflappable, and enjoys working in a fast-paced environment.
* Due to the nature of the work, it will require flexibility out of hours.
* The right candidate will have experience working for senior executives or at founder level and have worked in a small team, start-up, or scale-up.
* Candidates with experience working with HNWIs or in the world of luxury goods, brands, travel, or lifestyle management is desirable.
