About Us
ZPos Ltd is a fast-growing agency supporting over a thousand restaurants and takeaways across the UK. We provide everything from bespoke e-commerce websites and EPoS systems to digital signage, print design, and marketing materials.
We operate across several creative and commercial brands, offering end-to-end solutions to clients ranging from small independents to large-scale hospitality businesses. With a strong in-house team and a vibrant office environment, we aim to deliver outstanding service, seamless systems, and standout creative work.
The Role
We're looking for an experienced, confident, and highly proactive Office Manager to take ownership of the day-to-day running of our office and support the wider team. This isn’t a role for someone who needs to be micromanaged; we want someone who sees what needs doing and just gets on with it.
You'll be the go-to person for keeping everything ticking over; managing suppliers, handling facilities, supporting Directors, and jumping into a range of admin and support tasks. You’ll also need to be comfortable with modern IT systems and able to work across a number of platforms with minimal handholding.
Key Responsibilities
* Take ownership of office operations: supplies, systems, cleanliness, organisation, and general workflow
* Maintain the building and our small fleet of vehicles, including arranging servicing, MOTs, cleaning, insurance, and contractor access
* Provide admin and diary support to Directors (including scheduling, correspondence, and document prep)
* Handle basic bookkeeping and invoicing tasks in collaboration with the accounts team
* Greet visitors and clients and support the team with occasional customer service cover
* Coordinate HR admin tasks including onboarding, staff files, contracts, and time off tracking
* Monitor the office budget, carry out the weekly supermarket shop, and ensure supplies are always stocked
* Ensure ongoing compliance with health and safety, fire safety, and other legal obligations
* Providing customer service duties to our clients
* Managing our team of external cleaners
* Spot issues before they become problems and make improvements without waiting to be asked
What We’re Looking For
* Proven experience in an Office Manager or Senior Administrator role
* Excellent organisational and multitasking skills; you keep things running without being reminded
* Strong attention to detail and a sense of pride in keeping things in order
* Tech-savvy and confident with online systems, digital forms, shared files, calendars, and cloud-based tools
* Solid communication and people skills; you’ll be working with staff, suppliers, and Directors daily
* Ability to handle sensitive and confidential information with professionalism
* Experience with basic HR and bookkeeping admin is a strong advantage
* A positive attitude and willingness to help wherever needed
Perks & Benefits
* Modern workspace with an in-house coffee shop
* Free coffee, tea, fruit, and snacks
* Games room and breakout areas
* 31 days’ paid holiday (including bank holidays), plus your birthday off (pro-rated for part-time)
* Free on-site parking
* Company pension scheme
* Staff discounts at affiliated coffee shops, and a variety of other retail and hospitality establishments
* Comprehensive healthcare plan provided by WPA (after successful probation)
This is a brilliant role for someone who thrives on variety, enjoys making things run smoothly, and wants to be part of a growing and ambitious company.
If you’re caring, proactive, dependable, and ready to take charge then we’d love to hear from you
