TOUR OPERATIONS EXECUTIVE – ITALIAN INBOUND GROUP TRAVEL
ATS Travel is a vibrant and fast-growing DMC. We are part of the ATS Group (ATS Travel, Brook Green, FHT). We offer comprehensive ground handling services throughout the UK and Ireland for groups creating and operating tailor-made programs. Our offices in Edinburgh, London, and Dublin each have teams of destination experts handling groups for their destination.
The ideal candidate should have the following qualities and key skills:
* Language skills: Fluency in English and Italian.
* Experience: A minimum of 1 year of experience in a UK and Ireland inbound operator in a group operations role. Proven experience of operating groups.
* Knowledge: Good knowledge of the UK as a destination.
* Communication: The ability to communicate clearly and concisely, both orally and in writing.
* Energy: Enjoy the buzzing energy of the travel industry, and be willing to invest time and effort to achieve your goals. Desire to grow professionally and succeed in your job within the travel trade.
* Flexibility: Ability to adapt to changing situations and be open to new ideas and people.
* Problem solving: Ability to identify and analyze existing or potential problems and find suitable solutions for each situation.
* Teamwork: Ability to work as a team member and also independently, in accordance with guidelines and processes.
* Trust: Awareness of your strengths as well as areas for improvement.
* Organizational skills: Great attention to detail and ability to work under pressure. Ability to comply with deadlines and prioritize requirements and booking key services first.
* Systems: Working knowledge of Tourplan is an advantage.
Summary of Role:
* Assume all responsibility for clients' confirmed groups; book all services required in good time and ensure all details are correctly booked and inserted in the operational system prior to the group's arrival.
* Liaise with the Business Development Team to understand client needs and quotes, and book suitable services at the correct time slots according to the itinerary.
* Build and maintain strong working relationships with clients and suppliers.
* Be proactive in finding and negotiating the most suitable products and prices for specific clients.
Breakdown of role:
* Read and understand the technical itinerary from the Business Development team and identify any missing basic details.
* Identify the most suitable products for the client and the quoted program.
* Ensure that services are booked correctly, with accurate timings and rates reflecting the quotation/offer.
* Confirm that suppliers’ service confirmations match contract rates.
* Negotiate and strive to buy under budget where possible, to increase margins without compromising quality.
* Understand and negotiate terms and conditions with suppliers to meet clients’ needs.
* Build relationships with suppliers and ensure excellent knowledge of key services offered to clients.
* Prepare and double-check rooming lists and vouchers, keeping the system updated for suppliers and clients.
* Send proforma amendments to clients on time and ensure all payments are made within time guidelines.
* Liaise with accounts to ensure payment terms are respected by both clients and suppliers.
* Ensure all group files and the operations system are continually updated and correct.
* Participate in familiarization trips to understand products and improve knowledge.
* Hold an emergency phone during weekends according to department rota.
