Immediate Start Available We are seeking an experienced and detail-oriented Office Administrator to join our dynamic team. If you have strong organizational skills, experience in Xero, and the ability to manage a wide range of financial tasks, we want to hear from you Key Responsibilities: Bank Reconciliation & Remittances : Perform daily bank remittances, matching receivables and payables using our software systems and Xero. Supplier Invoice Management : Collate, save, and input supplier invoices into the system. Ensure invoices are authorized and passed for payment in a timely manner. Payment Monitoring : Monitor direct debits and standing orders, matching them to corresponding invoices for accuracy. Receipts & Credit Cards : Scan and input receipts into the system. Reconcile credit card monthly statements to receipts on Xero. Debt Collection : Send customer statements, generate weekly debtor reports, and actively chase customers for overdue payments. Supplier Reconciliation : Perform daily input of supplier invoices, reconcile statements at month-end, allocate payments, and ensure invoices are reconciled on Xero. Payroll Assistance : Collate payroll information, liaise with external accountants, and ensure payslips and employer summaries match payroll data on spreadsheets. Office Support : Assist with phone calls, respond to emails, and book work onto the system during busy periods. Procurement & Supplier Relations : Order materials, liaise with suppliers, and manage public liability and fleet vehicle insurance to ensure the best agreements, rates, and coverage. Fleet & Utilities Management : Oversee vehicle tax, MOTs, services, repairs, and handle utility accounts for water, electric, gas, telephones, and card machines. Ensure all invoices are checked and contracts reviewed annually. Required Skills & Qualifications: Experience with Xero or similar accounting software. Strong organizational and time-management skills. Attention to detail with a commitment to accuracy. Ability to handle multiple tasks and work under pressure.
