Customer Quotations & Admin Manager 12 month Fixed Term Contract Monday – Thursday 09:00 – 17:00 and Friday 09:00 – 16:30 £31,000 Per Annum PURPOSE OF ROLE: Focused on generating new business, sales development and customer account management. To manage all customer quotation requests, build a pipeline of sales opportunities from our existing customer base, as well as identifying new customer opportunities, reactivating dormant accounts and building deeper customer relationships. To provide support / cover for the Order Processing and Admin Manager when on annual leave. KEY RESPONSIBILITIES PRIORITY – Sales Quotations Producing all quotations including providing back up for the Commercial Director Responding to customer quotations requests in a timely and customer friendly manner Timely follow ups on all customer quotations Source feedback from the customer even if they did not purchase, we need to learn more about our customers and what they want and expect Identifying and qualifying sales opportunities with existing customers as well as new customers Being proactive with all sales, managing the process of keeping in touch with our customers to encourage recall and repeat order placement Keeping the CRM system up to date with the status of each quotation Providing weekly status reports on win, lost, still active Build a deeper understanding of each of our customer accounts, providing our customers with information on our growing portfolio and looking at ways of keying our customers in with us by up selling and cross selling more of our products and services Proactive Sales Generation Proactively calling existing customers on a regular basis to encourage further sales Contact brand new customers for verbal feedback on first order and enquire about future orders/frequency using the weekly list provided by Order Processing Using the in-house software to monitor the frequency of customer orders and if customers have lapsed from their usual order frequency Talking to customers regarding new products we have launched Feeding back product information to the Commercial Director Researching new products/manufacturers to consider adding to product portfolio To proactively create a new customer pipeline of sales, using internal CRM system and internet. Proactively calling and emailing prospects who have contacted us for quotations but did not turn into sales. Look at ways to reactivate dormant accounts and customers finding out more about their purchasing patterns and why they did not continue to purchase from us CRM and Tracking System General housekeeping of the CRM system Ensuring all new enquiries are added as new contacts, following the exact process Call/email all new customers following their first order/delivery Look at ways to segment the customer database Come up with ideas on targeting customer segments with calls and emails Assist the Commercial Director with customer marketing and sales activities Providing ideas or customer case studies for social media activities Customer Account Management Keep in regular contact with key accounts Build a rapport with decision makers, learning vital details about their business Look to book periodic face to face meetings Provide immediate point of contact to resolve all queries to smoothly manage their account Looks at ways to grow the relationship Key Information and Documentation Manage all price increase notifications Competitor research Product sample management Manage the customer complaints process with the Quality Manager Manage all non-compliances process with the Quality Manager ISO 9001 Audit process Marketing Provide marketing support and assistance to the Commercial Director Research industry developments, new and launches to assist with putting together weekly social media posts and blogs Cover for Admin/Order Processing Provide first point of contact for call customer calls and emails Process PO numbers Manage all orders/collections on the company CRM system ACT Raise Sales Order Confirmations and send to customers Research the most cost-effective delivery options, seeking the best prices for our customers Book pallet network and hauliers Printing delivering labels Arranging all internal transportation bookings, liaising with the Transport Manager to assist with planning efficient deliveries Following customer booking in processes Sending delivery confirmation emails Liaise with customers to ensure they are happy with the products and services received Provide any feedback to the Directors and/or other depts Taking debit/credit card payments and processing via software system Booking in all incoming supplier stock deliveries SKILLS AND EXPERIENCE Essential Positive go-getting, self-motivated approach Attention to detail Professional business attitude Common sense Good aptitude for calculating costs Ability to deal with customers effectively and in a customer focused manner Previous “warm” sales experience Sales generation Ability to touch type Advantageous Sage Accounts CRM experience Packaging products or manufacturing customer/business experience Key Behavioural Criteria Strong verbal communication skills Ability to communicate at varying levels of seniority with both staff and customers etc Flexible Proactive Motivated & Energetic Diligence Good planning and organisation skills CRC Recruitment are a leading Midlands based recruitment consultancy covering vacancies across the UK.
