POSITION
The Operations Support Assistant will assist the Case Administration team with a key role related to management of incoming communications (phone, email and post) and the processing and management of evidence and other documentation relating to medico-legal cases. The Operations Support Assistant will need to be articulate, have excellent verbal and good written communication skills, be reliable and able to use own initiative, whilst also working as part of a small team. Attention to detail is important in this role due to dealing with important legal documents. The post holder will have a good level of computer literacy and an excellent telephone manner, and be familiar with all Microsoft Office applications (Word, Excel etc).
Hours: Full-time / permanent (Monday to Friday)
9am to 5.30pm (including 1 hour break)
Location: 9 Chess Business Park, Moor Road, Chesham, HP5 1SD
Accountable to: Case Administration Team Leader / Deputy Team Leader
PRIMARY RESPONSIBILITIES
1. Providing the client with a quality and positive experience at the first telephone point of contact.
2. Being a primary contact for all telecommunications into the office, which will involve screening telephone calls, identifying the user in accordance with company policy and assigning to the appropriate S&A team member.
3. Managing the Administration email inbox, reviewing and assigning messages to the correct case and case handler as appropriate.
4. Providing front of house function (answering door, greeting visitors and maintaining the visitor's book).
5. Updating the office calendar.
6. Overseeing the scanning and processing of some confidential hard copy but primarily electronic documentation, mainly evidence and communications from solicitors onto the database and ensuring the storage and destruction of evidence in accordance with company policy and GDPR.
7. Reviewing and managing the various administrative menus on the database (e.g. Evidence Missing, Evidence Issues, Royal Mail Track & Trace etc).
SECONDARY RESPONSIBILITIES
1. Processing requests and responses as allocated / tracked to you.
2. Liaising with other key S&A personnel, including the reports administration team and report trainers.
3. Other general administrative duties.
References are required and any offer of employment will be subject to a six-month probation period.

The nature of the work of Somek and Associates is highly confidential, and the post holder will be expected to maintain full confidence.
All staff are part of the Somek team and may be required to assist any other team members when required and agreed with team leaders or their managers.
