Our Enfield, London site is currently looking for a Transport Coordinator reporting into the Transport Controller on a full time (or part time) permanent basis.
WORKING HOURS: TUES - SAT 0400 – 1300 or part time hours of 25 hours per week 0400-0900 will be considered.
KEY RESPONSIBILITIES:
* Conduct full brief of all drivers on prior to departure. Ensure all invoices and collection notes are issued to the correct driver and any that are for return to Derby.
* Ensure drivers are fully equipped to adhere to the schedule throughout the day. Provide any feedback from drivers regarding the schedule to Transport Controller.
* Ensure all routes are manned correctly and ensure any absences are covered and any late departures are notified to Derby Transport and Enfield Transport Controller.
* Monitor clocking report to ensure all Transport staff clock in and out daily.
* Undertake monthly audits of Enfield based vehicles and complete all associated daily, weekly, and monthly paperwork requirements as per existing and/or future amended procedures as directed by Transport Controller.
* Respond accordingly to any defect reported and provide excellent communication channels between Fairfax Meadow and our vehicle suppliers.
* Control, monitor and report on tray reconciliation for the Enfield site. This will include accounting for all trays that may be left at customers and keeping records of all trays sent to Derby.
* Highlight any delivery training needs that may arise within the Transport operation. Ensure all staff complete required IHASCO training.
* Ensure all drivers comply with our Health and Safety policies for workplace transport activities, off site activities, and associated risk assessments.
* Conduct investigations of all accidents and near misses (both vehicles and employees), completion of company accident form in preparation for submission to Company Insurers as directed by Controller. Identify resource issues (both vehicles and drivers) as they arise and ensure Controller and Derby transport are informed.
* Hours of work may vary to deputise for Controller when required, e.g. Holidays.
* Ensure familiarisation with the following packages: AX, Optimo, Samsara, Lightfoot, MS Office, The People Hub, and the FFM Report Manager application. Training will be provided where necessary.
* Manage holiday requests for the Enfield Transport department and ensure the People Hub is updated daily where necessary. Manage annual holidays to ensure that all holidays allocated are taken by end of year.

Other tasks that may be required as directed by Transport Controller:
* Monitor fuel use to maintain integrity of records and accounting for all fuel drawn.
* Manage movement of vehicles between service centres as per maintenance schedule.
* Update Sales on any issues occurring as they happen at customer sites.
* Ensure all collections are made and product returned to Derby.
* Manage vehicle parking on site to maximise space and ensure adherence to restrictions.
* Manage late orders and any late collection as required.

QUALIFICATIONS, KNOWLEDGE & EXPERIENCE:
* Ideally, a minimum of 2 years’ experience within a busy transport operation (preferably multi temperature food transport).
* High quality organisational skills are considered important to work in a busy, fast-moving environment. The ability to work unsupervised using own initiative is essential.
* Effective communication skills, both written and oral, and a flexible approach to both duties and hours of work is required.
* Must have a good solid geographic knowledge of the UK, especially London and the Southeast.
